POSITION SUMMARY
Rhodes Associates has been retained to assist in the identification and recruitment of a General Manager, Property Management. The successful candidate will be the lead point of contact with the 200+ tenants, building staff and contractors, and contract services of a 1MM+ square-foot mid-town office building. This position interfaces directly with the corporate office and the Vice President of Asset Management.
RESPONSIBILITIES
- Responsible for development of strategic plans for the property, physical appearance and condition of the property and oversight of office administration, records and documents.
- Develop excellent working relationships with tenants, owners, vendors and co-workers.
- Manage financial aspects, including preparation of an annual budget and monthly reporting.
- Responsible for oversight of Tenant Improvement and Building Improvement projects.
- Oversee activities of the Property Manager and staff. Assist in ongoing staff planning, development programs and role definition.
- Further develop and maintain an effective tenant relations program.
- Administration of tenant leases, including the provision of all services, timely collecting monies due, escalations, billable items, etc.
- Conduct negotiation of contracts for goods and services, issue RFPs and solicit bids as needed or at management's direction. Ensure all contracts are in place and current. Monitor billings and service to ensure contractors and vendors are living up to terms of contracts.
- Establish and monitor building procedures with regard to contractors, vendors and tenants.
- Responsible for the development, preparation, and distribution of tenant manuals, emergency procedures, and other necessary formalized tenant communications.
- Conduct regular property inspection tours, identifying and correcting deficiencies in the areas of cleaning, building maintenance, construction, landscaping, site development and other areas as required.
- Implementation of security procedures necessary for the protection and well-being of building tenants and property.
- Ensure provisions are made for after-hours response to emergency conditions, including security, fire, mechanical damage and tenant situations.
- Responsible for the preparation or supervision of monthly operating reports as required by Ownership.
- Interact with Leasing Agents in marketing and presenting space, ensuring that pertinent information is readily available, space is clean and in good repair, and there is access.
- Responsible, with Property Manager, for reviewing and verifying for accuracy all accounting-generated reports on the property, including rent rolls, actual vs. budget expense statements, and escalation statements.
- Conduct regular meetings with property personnel to ensure internal communications, exchange of ideas and good employee morale.
- Prepare, with Property Manager, an annual income/expense budget utilizing approved guidelines and formats.
- Assume other duties and responsibilities as directed by Senior Management.
- Responsible for supervision of assigned property manager and support staff.
- Assist Executive Staff in design, review and implementation of division policies.
- Knowledgeable and up-to-date with current market conditions and competition.
- Supervise multiple properties when requested.
- Ensure compliance with company policy.
- Approve expenditures within approved budget and in accordance with company purchasing procedure.
- Participate in industry organizations.
- Responsibilities include interviewing, hiring, and training employees; planning, assigning and directing work; praising performance; rewarding and disciplining employees; addressing complaints and resolving problems.
- Re-bid all service contracts (minimum three bids) on an annual basis (no service contracts are to be signed without a 30 days cancellation provision).
- Make income-expense comparisons with budgets and suggest corrective action when advisable.
- Respect and maintain confidentiality of the company, its records, and restricted information which flows through the department.
- Understand ownership's goals and communicate directly with staff.

QUALIFICATIONS
Prospects for this position will have demonstrated excellent leadership and communication skills and the ability to interact and communicate effectively with all staff levels internally and outside the organization.
Additional skills required are noted below:
- Minimum of seven to ten years pertinent business experience in property and asset management.
- High degree of accuracy in all tasks, as well as attention to detail. Strong organizational skills and the ability to prioritize assignments. Solid leadership and communication skills.
- Ability to adapt quickly to changing conditions, including stressful work conditions due to multiple work assignments and constant deadlines.
- Time management skills under pressure and with frequent interruptions.
- Proficient in Microsoft Office programs, JD Edwards and work order software.
- Detail-oriented with strong problem-solving skills.
- Positive, team-oriented, and friendly manner.
- Relevant undergraduate degree required; advanced degree a plus.
