Primary Responsibilities – New and Renewal Lease Processing and Follow-up

  • Produce monthly Lease Expiration Report/memos (coordinate with Accounting)
  • With direction from the VP Leasing, prepare the bi-weekly Leasing Report and other Lease-related reports
  • Initiate Tenant background checks when requested
    • Online research of Tenant, or prospective Tenant using Google, Hoovers, LinkedIn, etc.
    • Run a credit check on Guarantors
  • Assist with Term Sheet preparation
  • Circulate Term Sheets prepared by Leasing Team
  • Coordinate/send executed Lease documents to the relevant departments and to the Tenant
  • Coordinate the progress of new and renewal Leases
  • Follow up all items on the Signed Lease Checklist
  • Maintain Tenant files
  • Scan Lease-related documents into Smart Cabinet

 

Primary Responsibilities – Marketing

  • Maintain/update mail and email broker contact lists as changes occur and verify the list semi-annually
  • Send email marketing flyers and/or plans when needed
  • Proof print ads/marketing materials for grammar and typos
  • Update CoStar and LoopNet monthly, or as needed
  • Review the website for accuracy monthly
  • Assist in the preparation of marketing materials such as flyers and email blasts
  • Send Constant Contact email blasts
    • Upload updated flyers and availability lists
    • Send monthly availability and property-of-the-month email
    • Send additional emails as needed
  • Organize and update Master Leasing file on the shared server including but not limited to the following:
    • Plans (Tenant and Site)
    • Photos and maps
    • Tenant information including contact and space requirements
    • Flyers
    • Letters of Intent
    • Tenant/Broker inquiries and messages
    • Broker, Tenant
  • Help coordinate marketing events, open houses, etc.
  • Maintain industry event schedules and assist with preparation for attendance

 

Primary Responsibilities – Administrative Disciplines

  • Maintain calendars and Outlook contacts
  • Schedule conference calls
  • Schedule showing of vacant space
  • Schedule/book conference rooms for meetings
  • Update Property binders quarterly with new and expired Tenants, rent rolls, etc.
  • Draft cover letters, proposals, and correspondence as instructed by the Leasing executives
  • File all marketing, Purchase/Sale and Leasing documents
