SUMMARY:              

Assist Senior Property Manager and other members of the property management team in the direction and management of the day-to-day operations, physical condition, financial performance and administration of the property in accordance with established Owner requirements, Company objectives and applicable law and as outlined in the Property Management Agreement.

ESSENTIAL DUTIES AND RESPONSIBILITIES:  Be thoroughly knowledgeable of Lowe Enterprises’ and USAA Real Estate Company’s policies, procedures and programs that may affect day-to-day operations and assist in the communication of these issues to onsite staff to ensure quality standards are achieved.

Ensure that property is maintained in a first class condition. Perform, at minimum, daily inspections of building operations – identifying areas requiring attention, following up on maintenance or capital improvement projects and ensuring satisfactory function and appearance of the property.

Specific Responsibilities Include:

  • Establish and maintain excellent tenant relations through development and implementation of a comprehensive customer service program including, but not limited to, personal contact with tenants, resolving issues in a service-oriented manner and overseeing activities to promote tenant satisfaction.
  • Review and monitor tenant service requests to ensure prompt and accurate handling of work.Ensure cleaning, security and engineering performance is in accordance with Company policy and procedures and lease and contract requirements.
  • Perform weekly cleaning inspections with janitorial supervisor.
  • Purchase supplies, materials, services and equipment pursuant to approved budget.
  • Maintain/update as necessary, property site rules and regulations, building standards, tenant handbook, security procedures and emergency preparedness programs.
  • Assist with annual review of all contracts and bidding in accordance with Client and lease requirements.
  • Responsible for contracting of all vendor services in accordance with Company policies and guidelines.
  • Assist in supervision of building staff (including janitorial, engineering and security staff).Supervise the administration of service and supply contracts to ensure full compliance and cost control as well as accurate and timely invoicing.
  • Assist in preparation of annual Operating Budget in Yardi ABF format in accordance with published timelines and deadlines.
  • Assist in preparation of monthly/quarterly operating reports for the property including monthly cash flow requirements and cash flow reforecast, variance explanations, rent roll, accounts receivable, fee schedules and capital expenditure schedules.
  • Assist in preparation of annual operating expense tenant estimate billing and reconciliation in Yardi ABF (or other assigned accounting software) in accordance with company and lease procedures/timelines.
  • Monitor all receivables to ensure prompt collection of outstanding amounts in accordance with company requirements/guidelines. Ensure that all payments have been appropriately applied.
  • Receive, review and code vendor invoices in online invoice processing system and monitor payment of same. Address vendor inquiries related to accounts payable.
  • Prepare and issue miscellaneous tenant charge billings.
  • In rotation with other members of the property management team, respond via telephone or, if necessary, in person to after-hours emergencies.
  • Ensure tenant adherence to lease requirements and property rules and regulations.
  • Assist with the management of tenant improvement and capital projects.
  • Coordinate tenant moves.
  • Coordinate tenant events.
  • Monitor tenant and vendor insurance compliance in accordance with Company and Client guidelines/requirements; enter and maintain COI information in Yardi system.
  • Respond in timely fashion to Client inquiries/requests.
  • Answer phones and distribute mail.

SUPERVISORY RESPONSIBILITIES:  Supervisory responsibilities may include interviewing, hiring and training employees; planning, assigning and directing work; coaching and appraising performance, providing feedback, evaluation and recommendations, rewarding and disciplining employees; addressing complaints and resolving problems.

 

 

QUALIFICATIONS, REQUIREMENTS, LICENSES AND CERTIFICATIONS:

Education and/or Experience:  Minimum three years of commercial property management experience with a portfolio of at least 200,000 sf.  Four-year college degree and CPM or RPA (or equivalent) candidacy required.  Equivalent combination of education and experience in lieu of four-year college degree will be considered.

Language Skills:  Ability to read, analyze and interpret leases (including GSA leases), general business periodicals, professional journals, technical procedures and government regulations.  Ability to write reports, business correspondence and procedural manuals.  Ability to effectively present information and respond to questions from groups of managers, clients, customers, the general public and regulatory agencies.

Mathematical Skills:  Ability to calculate figures and amounts such as discounts, interest, commissions, proportions and percentages.  Ability to apply concepts of basic algebra and statistics.

Reasoning Ability:  Ability to define problems, collect data, establish facts and draw valid conclusions.  Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.

Other Skills and Abilities:  Must be service-oriented, able to accomplish directives with minimal supervision and follow-up, and able to interact and clearly communicate with all levels of individuals and groups of people both orally and in writing.  Planning and organization skills, excellent attention to detail, a strong understanding of financial accounting principles and the ability to analyze and interpret lease agreements are necessary.  Microsoft Word, Excel and Outlook skills are required.  Experience with Yardi accounting system is required.

PERFORMANCE STANDARDS:  Annual performance goals to be established and reviewed periodically to assess achievement and/or progress to completion.
