Purpose of Position:

We are seeking a Leasing Assistant to join our Calgary Downtown office. The Leasing Assistant is responsible for assisting in the leasing and marketing of commercial real estate properties. Works under the direct supervision of experienced sales professional or team. Provides clerical support and superior service to clients and internal staff.

Summary of Essential Job Functions:

  • Meets with clients and accompanies sales personnel to property sites.  Assists in the showing of space and the negotiation process.
  • Conducts cold calls for developing new clients.
  • Gathers and coordinates materials necessary for transactions, including listing/commission agreements, leases and sales agreements.
  • Drafts various correspondence to existing and prospective clients.  Prepares and sends marketing materials.
  • Compiles packages of property data for clients that contain material specifically tailored to each client. Prepares tenant surveys, summary reports, maps and presentations for listing or tenant representative assignments.  Provides client with status reports on their listings.
  • Updates property and client database with updated information gathered through research. 
  • Provides word-processing support, including generation of memos, correspondence, and spreadsheet reports. Edits correspondence for spelling, punctuation and grammar.
  • Provides general office support, including answering telephones, opening and distributing mail, ordering supplies, faxing, copying, and filing and file maintenance.
  • Schedule appointments, travel plans, meetings, etc.
  • Attends staff meetings, takes notes, distribute agendas and/or minutes as appropriate.
  • Prioritizes projects and tasks according to the producers requirements.  Keeps the team informed of decisions or issues that impact department.
  • Other duties as required.


Required Skills:

  • Real Estate License is mandatory.
  • Minimum of 2 years of business or office experience. Previous commercial real estate experience is preferred.
  • Computer literate and working experience with Excel, Word, email and internet. 
  • Strong customer service skills, strong verbal and written communication skills.
  • Encourages and supports leadership and growth in others.
  • Requires an excellent customer service approach to handle daily interactions.
