DESCRIPTION:

We are currently looking for an enthusiastic professional for the Assistant Manager position at its most recent luxury development, 3Eleven Apartments. Located in the heart of River North, 3Eleven is a design-forward, boutique property opening in mid-January.  The right candidate for this position must have a positive, can-do attitude because they will be a key player in the success of the property, and will have an opportunity to exercise and expand their skills.   

  

DUTIES AND RESPONSIBILITIES:

  • Supports the Property Manager in all aspects of property operations, and acts as management representative of the property in the Property Manager’s absence.
  • Responsible for monitoring operational expenses and revenues at the property.
  • Manages invoice payments, billing to tenants, and cash receivables. 
  • Prepares monthly and quarterly financial statements.
  • Responsible for property accounting including accounts payable and accounts receivable. 
  • Assists property manager in budget preparation and financial reporting.
  • Reviews leases and answers lease questions.  Prepares tenant statements for approval by property manager. 
  • Assists with coordinating vendor activity on the property, such as directing to their locations, providing access, etc.
  • Prepares on-site documentation related to purchasing, invoice billing and payment, and corresponding batch reports.
  • Collects tenant receivables, records payments in system, deposits payments in bank.
  • Completes and maintains all standing purchase orders for all service contracts and recurring payments to vendors.
  • Maintains credit applications for new vendors and verify all vendor approval forms have been completed.
  • Assembles data used in the creation of financial statements.
  • Tracks service requests to provide client-focused follow up, and to ensure that all service tickets are accounted for and closed appropriately. 
  • Prepares tenant monthly statements.  Handles tenant account inquires.
  • Processes payroll for hourly property level employees.  May also maintain employee records, schedules and calendars/time-sheets.
  • Provides back-up support for answering phones.
  • May perform administrative duties, such as maintaining tenant logs, filing, office management, and mail / correspondence, social media monitoring, etc.
  • Provides support to leasing department in handling overflow of leasing traffic by assisting prospects via phone, email, or physically touring the property and attempting to secure applications from prospects.

  • Flexibility to work weekends, if needed.

 

MINIMUM EDUCATION AND EXPERIENCE:

Some college, an Associate’s or Bachelor’s degree required. Must have, or obtain Illinois Leasing License within 120 days of hire.   Experience in real estate accounting and/or property management a plus.

 

REQUIRED LICENSES, CERTIFICATES OR KNOWLEDGE:

Must be familiar with basic word processing and spreadsheet software, preferably MS Word and Excel.  Also, must understand basic accounting concepts and be proficient in the use of accounting software.

 

WORKING CONDITIONS:

Work is normally performed in a typical interior/office work environment.
