The Fiscal Operations Manager ensures the accuracy, propriety, and timeliness of all financial data and reports maintained and prepared for the portfolio. Communication includes the Area Director, Senior Property Managers, Property and Assistant Property Managers, Area Chief Engineer, and corporate Accounting. Interface as needed with the Regional VP, Asset Management, and Lease Administration, and daily with tenants and vendors.
Review preliminary recurring charges, rent roll information, and roll forward from prior month’s rent roll to current month’s rent roll. Test system for accuracy by reconciling with leasing startups and rent changes.
Manage field-level accounts receivable by confirming accurate application of cash deposits, coordinating collection issues with property management personnel, applying late fees, reconciling monthly, and overseeing resolution of misapplications. Prepare and review accounts receivable reports weekly.
Prepare and review tenant statements and manual invoices prior to mailing.
Prepare, review, and post tenant bill-back invoices on a monthly basis.
Review and assist with preparation of annual tenant escalation reconciliations, tenant escalation letters, and assists with tenant questions and follow-up.
Contribute to the maintenance of positive tenant relations by politely assisting with tenant questions relating to accounts receivable.
Review general ledgers for accuracy and completeness and submit general ledger to property management for review on a monthly basis.
Manage field-level accounts payable including invoice processing and data entry.
Review monthly accruals and reclassifications prior to forwarding to corporate for entry. Verify accrual reversals occur in appropriate month.
Create, review, and revise property allocations as needed.
Calculate lease commissions and process commission payments timely.
Setup of new vendors.
Prepare monthly operating reports for the Senior Area Director and Regional Operations Manager. Oversee the timely completion and analysis of variance reporting.
Monitor and review job cost entry and reporting. Coordinate job cost related data to both property management and corporate accounting.
Assist with preparation, review and submission of annual budget and monthly reforecasts.
Review annual escalation and escrow calculation files and coordinate changes with corporate Accounting.
Maintain integrity of all property financial information. Coordinate internal audits and tenant audits as they arise. Prepare required information as needed.
Comply with company policies and procedures and demonstrate a high degree of accuracy and attention to detail.
Provide assistance to the Regional Fiscal Operations Manager, Area Director, Regional VP, and Property Management staff as requested.
Assume additional responsibilities as delegated by the Regional Fiscal Operations Manager, Area Director, or Regional VP.
Act as a team member with all employees, demonstrating initiative and leadership skills.
Provide back-up for answering phones and greeting guests, as necessary.
Bachelor’s degree in Accounting, Finance or related field. Minimum 3.0 GPA.
Five to seven years’ experience in real-estate related accounting or finance position.
Ability to work in a fast-paced, collaborative, and results-driven environment.
Proficiency with property management/accounting software (preferably Yardi and Argus). Advanced Excel skills, and other Windows applications.
Requires excellent verbal, written, and organization skills.
Strong work ethic and demonstrated history of reliable work record.
