Position Summary:

The Staff Accountant is an accounting professional with experience in dealing with a wide variety of general and specialized accounting functions and account processing involving regular application of knowledge of accounting methods, forms and techniques, and general accounting principles, practices and procedures. The Staff Accountant is primarily responsible for general accounting, accounts receivable, accounts payable, payroll recordation and other duties.

Essential Functions: 

General Accounting:

  • Maintains records of all financial documents with appropriate supporting material, and updates records as necessary.
  • Reconciles general ledger accounts to their related subsidiary ledgers and prepares adjustments to GL accordingly.
  • Maintain all accounting for general partner entities through a reconciled trial balance.
  • Prepares all reconciliations and year-end work papers pertaining to payroll, accounts payable and accounts receivable.
  • Responsible for determining the proper and consistent application of work procedures and instructions.
  • Provides departmental assistance with questions relating to accounts payable, accounts receivable, payroll, budget to actual reports, and general ledger.
  • Recommends, designs and implements departmental controls and procedures.

 

Accounts Receivable:

  • Monitors accounts receivable collections from individuals and institutions, and reconciles customer accounts, and books/posts revenues and fees.
  • Prepares monthly invoices for services, enter and track in accounting software, account for receipts and clearing of receivables and employee advances.

 

Accounts Payable:

  • Receives and processes properly documented vendor invoices, requests for manual checks and employee expense reimbursement, in an accurate, timely manner, ensuring appropriate approvals/supporting documents have been received before entering and tracking in accounting software.
  • Generate accounts payable and/or electronic transfers.
  • Performs accounts payable duties such as verifying all invoices for payment and ensuring expenditures are charged to appropriate accounts.
  • Process purchase orders and employee expense reports.  Audits employee expenses to ensure compliance with company policy before payment.
  • Research vendor statements and resolve discrepancies.
  • Prepare/publish monthly reports and reconciles to general ledger.

 

Payroll Recordation:

  • Prepare journal entry to record biweekly payroll.
  • Reconciles operating account and payroll account bank statements to general ledger balances.
  • Reviews payroll tax returns and other information both quarterly and annually.
  • Analyzes payroll salaries and expenses to determine variances on a monthly basis.

 

Other Duties:

  • Maintain all accounts receivable and payable files.
  • Communicate with co-workers, management, vendors, and others in a courteous and professional manner.
  • Other accounting duties: run reports, input and process journal entries, file and mail financial reports and tax returns, and make bank deposits. 
  • Performs other related duties as assigned.

 

Job Specifications

Education and Qualifications:

  • Bachelor’s degree in Accounting, Business Administration or other related field, with a minimum of two years related work experience. 
  • Basic understanding of generally accepted accounting principles (GAAP).

Knowledge, Skills, and Abilities

  • Ability to work in a fast-paced accounting department with multiple entities, projects, and deliverables.
  • Knowledge of accounting codes, classifications and terminology pertinent to various account maintenance functions.
  • Working knowledge of automated accounting software and standard office programs such as Word and Excel.
  • Ability to maintain established financial records and prepare a variety of statements and reports.
  • Working knowledge of accrual accounting.
  • Excellent attention to detail and ability to implement internal controls.
  • Ability to work independently and efficiently, and seeks help when needed.
  • Well-developed interpersonal skills and ability to work cooperatively in a team environment.
  • Able to work with a diverse group of people.
