Executive Assistant 

 Job duties

  • Interface with public and senior management.Present a professional image while coordinating meetings and following up on open tasks
  • Prepare agendas and gather supporting materials for periodic management meetings

  • Light phone duties

    • Answering phones and screening/directing them appropriately

    • Taking messages / directing to VM

  • Maintaining Calendar

    • Schedule meetings

    • Coordinate travel arrangements

    • Review calendar to ensure there are no conflicts

  • Coordinate signing of documents with legal team and signors

  • Escrow and transaction coordination along with coordinating signatures

  • Assist in event planning

  • Light bookkeeping

    • Create expense reports and send to accounting for reimbursement

    • Enter and code invoices and forward for approval

    • Report and track political contributions

  • Light Marketing

    • Ability to create graphically rich PowerPoint & other marketing presentations and materials

    • Ability to generate some original marketing ideas and manage social networking and website presence for entity

    • Coordinate events

  • Open & distribute mail

  • Order and maintain office supplies

  • Liaison for IT issues (printers, copiers, computers and phones)

  • Proficient in Microsoft Office Suite and Adobe Creative Suite


Required skill set

  • Ability to work independently

  • Sense of urgency

  • Ability to multi-task in a dynamic environment is a must

  • Ability to work in a face-paced environment

  • Exposure to the real estate industry is a plus

  • Bachelor’s degree and minimum 2-4 years of experience preferred
