SUMMARY:
Oversees the day to day facilities, office services, mailroom, printing and shipping for NECA HQ, the Capitol Hill office and regional field staff.
REQUISITE EDUCATION AND EXPERIENCE:
No less than five years of experience in the day to day and strategic management of the Facilities and the Officer Services functions of an organization. A bachelors degree and the International Facilities Management Associations FMP designation (or equivalent) is preferred.
WORKING CONDITIONS:
General office work environment, candidates must be able to lift and move at least twenty five pounds. Candidates must be willing to work occasional variable schedules.
DUTIES:
• Actively promote the facilities team through training of employees to build required individual and team capabilities.
• Implements preventative and predictive maintenance system for facilities, continuously improves productivity, reliability, and costs.
• Maintains the annual operating budgets for the department.
• Responsible for the development and execution of continuous improvement activities and projects focused on cost and reliability.
• Assists with the coordination of building space allocation, layout and communication services.
• Directs maintenance personnel and workers engaged in equipment installation, facilities equipment repair and preventive maintenance.
• Drives and enforces use of structured problem solving and statistical analysis within the daily work of the community Facilities teams.
• Supports and coordinates with and other departments meet organizational objectives.
• Establishes policies and procedures for responding to building custodial/maintenance requests.
• Ensures the maintenance of common areas, copier areas, balcony and storage rooms.
• Monitors appliances and office equipment and arranges repairs.
• Managers the purchase of office supplies, mail room materials and other items requested by staff.
• Processes and codes invoices for payment.
• Sets up phone, voicemail and mail portal.
• Assists Manager, Administrative Services with the purchase and leasing of office equipment.
• Processes purchase orders for inventory.
• Oversees and maintains phone extensions and emails lists.
• Performs other duties as assigned.
