The Operations Manager will be responsible for ensuring the efficient, timely, and accurate operation and governance of the Global Real Estate and Workplace (GREW) function.
This position will report to the Director of Global Real Estate and Workplace and is based in Wilmington, MA.
Responsibilities
- Ensure ADIs lease database is accurate and current, and act as primary point of contact with ADIs external Lease Administration provider.
- In partnership with the Director of Global Real Estate and Workplace, develop GRW metrics, dashboards, and reports.
- Assist Facilities Sr. Manager with establishing the Facilities Management baseline regarding who is performing what services where and how much they cost ADI.
- In coordination with relevant internal parties, maintain and update metrics and dashboards on a quarterly basis.
- Assist with internal presentations as requested by Director of Global Real Estate and Workplace and other functional leaders.
- Track timelines and milestones for GREW projects, including leasing, project management, strategy development, vendor selections, and strategic initiatives.
- Coordinate the processing of leases, including tracking terms and changes in Letters of Intent and lease documents, signatures, and abstracts.
- Coordinate the processing of purchase orders and invoicing between GREW team members, Purchasing, and Finance.
- Develop and distribute agendas for weekly team calls.
- Write and maintain database of minutes of weekly team calls, as well as other calls as requested.
- Coordinate hiring process and onboarding of new team members.
- Assist with RFPs and coordinate comparison of vendor bids.
- Coordinate logistics of ADIs engagement with external vendors, including meeting agendas, requested meetings with ADI business leaders, and milestones.
- Over time, contribute to real estate strategy development, leasing, project management, and facilities management.
- All other operational and administrative tasks as requested by Director of Global Real Estate and Workplace.
Education And Experience
- Bachelor’s degree or equivalent
- Minimum of 4 years industry experience either in a corporate environment, third party service provider, or as a consultant
