VICE PRESIDENT - ASSET/PROPERTY MANAGEMENT

Job Summary

Work as key member of executive team to asset manage all aspects of an institutional-quality property portfolio of high-end mixed-use assets in the Chicago Area. Oversee all staffing, operations, financial and marketing activities. Position will be based in the Company’s Chicago West Loop corporate offices.

Essential Duties and Responsibilities

  • Ensure that “Best-of-Class” services are provided in compliance with policies, procedures, regulations and contractual obligations and standards.
  • Participant in strategic planning of the “brand” and portfolio of assets to develop and lead the implementation of process improvements in a team collaborative environment.
  • Direct all aspects of the team and proactively respond to tenant needs as well as ensuring that administrative and building technical staff/vendors resolve problems promptly.
  • Provide direct input/insight at the executive table on new development operations with a current a Company pipeline with value in excess of $500 million dollars.
  • Ensure active property inspection. Proactively recommend and/or approve alterations, maintenance and reconditioning as necessary. With administrative staff, actively manage contracts for onsite vendor services, as required.
  • As part of executive team, support marketing and leasing efforts of the portfolio acting in capacity of asset manager, qualifying and showing space to prospective tenants as needed. Directing Tenant Coordinator on tenant move-ins and move-outs, and "walk-throughs" of spaces with tenants and related contractors as needed
  • Act as primary contact with Managing Principal to ensure that objectives are being met, prepare and deliver timely, accurate and complete reports.
  • Develop and control annual budgets for operating and capital expenses for portfolio of assets. Forecast management plans and prepare monthly performance, explaining variances.
  • Oversee staff and the collection and processing of rent and payment of expenses in compliance with lease terms. Prepare all required legal notices. Recommend and coordinate legal action as necessary.
  • Review and reconcile tenant rent and Common Area Maintenance (CAM) recovery charges working with accounting.
  • Provide lease analysis and recommendation for Managing Principal’s review and approval. Document settlement of and notify affected parties.
  • Develop business relationships locally through memberships and participation in professional, industry/trade and civic organizations.
  • Perform other duties as assigned.

Supervisory Responsibility

Provide formal supervision to individual employees or operational areas. Make recommendations for; staff recruitment, selection, promotion, advancement, corrective action and termination for direct reports, to Managing Principal for review and approval. Plan and monitor appropriate staffing levels and utilization of labor, including overtime. Prepare and deliver performance appraisal for staff. Mentor and coach team members to further develop competencies. Lead by example and model behaviors that are consistent with the company's values.

Education and Experience

Bachelor's degree (BA/BS) from four-year college or university preferred with a minimum of four to six years of related experience and/or training. Candidate must have Commercial Office Management experience.

Certifications and/or Licenses

Real estate license required. CPM professional designation or candidacy preferred.

Communication Skills

Excellent written and verbal communication skills. Strong organizational and analytical skills. Ability to provide efficient, timely, reliable and courteous service to customers as well as, to effectively respond to sensitive issues and present information clearly.

Financial Knowledge

Requires advanced knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts, and commissions and conduct advanced financial analysis.

Reasoning Ability

Ability to comprehend, analyze, and interpret complex documents. Ability to proactively solve problems involving several options in situations. Requires advanced analytical and quantitative skills.

Other Skills and/or Abilities

Advanced skills with; Microsoft Office Suite, Yardi (or other similar property management software) and Kardin, a must

Decisions made with thorough understanding of procedures, company policies, and business practices to achieve general results and deadlines. Responsible for setting work unit and/or project deadlines.
