Responsibilities:

The Assistant General Manager is responsible for supporting the General Manager with the day-to-day management, operations, and financial performance for a portfolio of office and/or lab properties.  This is a leadership role which will indirectly supervise vendors and a facilities staff to ensure the properties are maintained at a Class A standard. The AGM is a primary point of contact for tenants, provides financial performance analysis, and oversight of various management projects, all with excellent organizational skills, communication proficiency, customer service focused and executed with a sense of urgency.

Collaborate with facilities team to identify maintenance, operations and/or tenant issues/problems and with them and property management team identify, develops and implements solutions. Complete tenant follow up to ensure that the result meets or exceeds expectations. If facilities team is unable to accommodate a tenant request (e.g. furniture moves) endeavor to recommend alternative solution(s).

Track and monitor maintenance and professional service agreements, purchase orders and invoice processing. Oversee the vendor prequalification process and collaborate with Environmental Health and Safety (EH&S) team. Develop and/or collaborate on scopes of work and obtain pricing for contracts and budgets. Oversees and audits ongoing work order close outs and ensures tenants are appropriately billed for work performed. Updates facilities rate schedule in Building Engines as-required.

Assists with ongoing portfolio financial management including profit and loss analysis, monthly reporting, trend comments, and accounts receivable. The AGM will play an integral role in budgets & reforecasts by obtaining scopes of work for projects and routine maintenance, schedules, and pricing. Collaborate with brokers to evaluate leasing assumptions and input data into VTS, Kardin, and Yardi Voyager.

Assist in the development of work scope for maintenance and professional services agreements, obtain proposals, bid review and leveling, make recommendations for contract and award.

Develop business relationships with internal and external stakeholders. Engage proactively and routinely with tenants to ensure needs are being met. Participate and support tenant experience programming.  Coordinate tenant move-in’s and move-out’s, including furniture delivery.  Responsible for aspects of development and maintenance of a comprehensive Tenant Service Package including a Tenant Handbook, park events, newsletters and programs for tenants.  Ensure tenant information within databases is up to date.

Collaborate with construction project management, asset management, legal and other internal departments as-needed relative to vendor, tenant and property needs and requirements.  Conduct regular campus and building inspections.

Manage accounts receivable, engage with tenants, provide back-up information as requested, and follow through to resolution.  Ensure all property files are prepared and maintained in an orderly and logical manner.

Qualifications:

Education:

  • 4 Year College Degree/Bachelors

Years of Experience:

  • 5 Years direct and relevant commercial real estate property management experience.
