JOB SUMMARY

CBRE is a Fortune 122 company and the world's largest commercial real estate services firm. We are looking for a self-motivated and high-energy team member to take on multiple marketing, administrative support, and business development duties for a group of high performing sales professionals in a fast-paced commercial real estate office. This person must have the ability to quickly shift gears and coordinate a multitude of tasks within a busy, modern office.

This role requires a business development and administrative professional that can manage, understand, and interpret the multiple functions in high level real estate sales.

This position has room for advancement both in responsibilities and compensation.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Administrative and Correspondence
  • Coordinates complex on/offsite meetings and conferences. Schedule appointments, keep calendars and arrange travel itineraries and meeting room reservations for sales professionals and Management.
  • Tracks, collates and maintains inventory of marketing materials.


File Process (Listing and Deal Cycle)
• Gather Property Info and Process Listing when Obtained
• Monitor Listing Status and Renew Listing when Expired
• Ensure Correct Listing Documentation is Drafted and Executed (Listing Agreement, Representation Agreement, Commission Agreement, Confidentialities, Co-Broker, Etc.)
• Process Deal Files with All Required Documents and Vouchers for Closings
• Monitor Closing Process and Timeline
• Ensure Correct Closing Documentation is Drafted and Executed

Marketing Responsibilities
  • Proficient in Adobe Creative Suite (Photoshop, InDesign, Illustrator, Premier Pro, etc.)
  • Experience with creating and managing social media content (i.e. photography and video editing, creating campaigns, etc.)
  • Maintains CBRE brand, product, office and client messaging and consistency by applying templates to produce marketing materials including flyers, proposals, tour books, maps, floor plans and qualification packages.
  • Organizes the preparation and production of customized, client specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs).
  • Design Property Marketing Brochures and Keep Updated
  • Create and Update Property Marketing Contact Lists
  • Property Email Blasts - Monitor Stats, Contacts, and Schedule
  • Manage Team's CoStar/LoopNet Accounts
  • Communicate Listings with Brokers and Economic Development Partners
  • Prepare and Send Out Property and Holiday Mailers
  • Maintain Individual and Team Website
  • Prepare and Update Case Studies
  • Order and Remove Signage
  • Acts as point of contact and liaison with the CBRE Property Marketing Studio


Business Development
    • Property Tour Searches and Complete Preparation of Tour Packages for Clients
    • Lease Proposals Preparation and Responses
    • Request for Proposals and Responses


Financial
• Excel Experience Required

QUALIFICATIONS

EDUCATION and EXPERIENCE

Associate's degree (A.A.) or equivalent from 2-year college required. 2 years experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. Work experience in Sales or Marketing environment preferred.

CERTIFICATES and/or LICENSES

None.

COMMUNICATION SKILLS

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, coworkers and/or supervisor.

FINANCIAL KNOWLEDGE

Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis. Ability to abstract a lease.

REASONING ABILITY

Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.

OTHER SKILLS and ABILITIES

Advanced skills with Microsoft Office Suite, internet research and web publishing skills. Ability to manipulate basic templates in Power Point and/or InDesigned preferred. Basic knowledge of accounting and marketing preferred.

SCOPE OF RESPONSIBILITY

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause negative impact to external and internal clients.
