Overview

Under the supervision of the Director - Facility Operations, the Real Estate Manager will oversee property related activities to include, but not limited to property inspections, maintenance request, PM scheduling, office space leasing, office space buildouts, capital project management, FF&E for new office locations and construction management activities. Manages all aspects of a single property or portfolio of commercial, industrial or retail properties. Oversees all property management activities. Establish and maintain strong and positive relationships with all stakeholders, property owners, vendors, and contractors.


Duties & Responsibilities

1.    Management and coordination of property maintenance activities. Physically walks and inspects assigned ALSAC owned & operated properties daily to ensure maintenance standards. Recommend alterations and/or maintenance and oversees needed work.
2.    Coordinate with maintenance staff to ensure timely completion of work orders and scheduled maintenance to improve overall property condition.
3.    Maintain an accurate record of PM schedules and leasing activities.
4.    Ensure compliance with, “Leased Office Space Guidelines”. Oversees property service contracts, contract expirations. Assists in preparation of accurate lease abstracts for submission into Visual Manager. Process property related invoices for payment.
5.    Assists in preparation of monthly and quarterly management reports for review and approval by Director and senior management. Assists in budget preparation/draft annual budget for review and approval by the director and senior management.
6.    Serves as liaison between user groups and property owners and responds to user group needs in a timely manner per lease obligations.
7.    Monitor and track work orders and other service requests in work order systems, i.e. Facility Fit Pro. Monitor lease expiration dates, renewal option dates, and ensures compliance with company “Office Space Leasing Guidelines”.
8.    Coordinates delivery and layout of furniture with company assigned vendor.
9.    Establishes processes and controls to maintain lease database files that are accurate, up-to-date and of institutional quality. Edits narratives in support of justification reports. Reviews monthly, quarterly and ad-hoc reports for accuracy and timeliness.
10.    Acts as single-point-of-contact with user groups for all service delivery concerns. Establishes and maintains strong working relationships with corporate user groups, property owners, and other internal stakeholders. Facilitates fast, accurate and efficient lease transactions and maintenance responses.
11.    May participate in the preparation and delivery of RFPs to property owners and or service providers. Communicates with internal stakeholders i.e. legal counsel, as needed, regarding the respective client to internal staff responsible for overall presentation preparation.
12.    Develops and implements procedures and systems that continually improve and streamline lease operations and property management procedures.

Other Job Functions

1.    Performs other related duties as assigned.

2.    Performs job duties as assigned as part of ALSACs Business Continuity Management Program, including annual maintenance and testing of business continuity, disaster recovery, and emergency response plans. 

3.    Travel – May require 10% travel to accomplish essential job functions.

Requirements


Education/Licenses/Certifications: 

·   Bachelor’s degree and/or relevant experience preferred. 

·   CCIM, CPM, RPA certifications preferred.


Experience

·   5-years’ minimum in commercial leasing & property management experience required.


Skills/Abilities

·   Familiarity with real estate software programs such as CMMS, Costar, Facility Fit Pro, or other resources used in property management.

·   Familiar with construction contracts and lease agreements required.

·   Strong relationship building ability, proactive, results-oriented, strong problem-solving ability and resourceful.

·   Independent, self-starter, team player & high level of attention to detail.

·   Must have excellent organization & communication skills (verbal and written), strong multi-tasking abilities, follow-up & follow-through capabilities, and a successful history of meeting commitments & deadlines.

·   Provides a high degree of professional customer service to both internal and external parties.

·   Ability to work well under pressure with strong personalities. The successful candidate must have strong leadership and marketing skills.

·   Applicants must be customer service oriented, organized and be able to manage and prioritize workload.

·   An outgoing personality, proven reliability and a willingness to learn are a must.
