Specht Properties Inc., located in the Lincoln Tower near Washington Square Mall, is seeking an experienced commercial property manager to fill a senior position in our property management division. Since 1990, Specht has been a premier provider of property management services and is committed to maximizing the value of our managed properties. In addition to property management, Specht is involved in real estate development and construction management projects ranging from downtown high-rise projects and high-tech manufacturing facilities, to large industrial developments and land developments.

The Vice President of Property Management is responsible for the development, implementation, and management of policies, procedures and programs adopted by the property management department. Duties include managing all day-to-day operations and interacting with property owners, tenants and vendors on a regular basis; ensuring that operational reporting deadlines, department financial goals, and client needs are met.

 

This position reports directly to the CEO and works closely with the Development Project Managers and Construction Managers.

 

Responsibilities

  • Manage all day-to-day operations of the portfolio. Assist in developing and implementing action plans that will achieve or surpass management objectives and maximize the asset value of each property.
  • Supervise property management staff, including oversight of licensed property managers.
  • Work closely with the Company’s accounting, development and construction departments, as well as outside maintenance and service vendors.
  • Foster and maintain positive tenant relations through regular site visits, tenant meetings, and response to inquiries and work orders. Must be able to clarify issues, identify solutions, and communicate needs to management and provide follow up as necessary.
  • Accounts receivable - Monitor aging reports and ensure timely rent collections which include follow up on delinquencies, eviction notices, and preparation of late fees.
  • Review and approve all invoices related to the assigned properties.
  • Sign checks for property operating expenses and client distributions.
  • Visit properties on a regular basis. Coordinate and manage vendor relationships, including managing service levels, participating in and documenting walk-throughs, and reviewing vendor contacts annually for competitiveness in the market.
  • Facilitate risk management by identifying and addressing issues and problems relating to life safety, liability and potential negligence situations that would impact the company, its contractors, tenants and/or customers.
  • Oversee obtaining and monitoring insurance certificates from tenants and vendors.
  • Detailed knowledge of lease agreements. Monitor tenant compliance and resolve issues and concerns.
  • Organize and oversee capital budgets including renovations and major repairs & maintenance projects for assigned properties.
  • Prepare annual operating budgets; oversee operating expense estimates, and annual operating expense reconciliations for all properties within the portfolio.
  • Oversee the preparation of various financial reports pertaining to variance analysis, rent roll review, and other relevant reporting information.
  • Prepare and organize tenant lease files.

 Skills, Education and Experience Desired

  • Bachelor’s Degree in Business Administration or Real Estate related field.
  • CPM or RPA preferred.
  • Real Estate License in Oregon and Washington.
  • 8 years of experience in Commercial Property Management.
  • CPM or RPA preferred.
  • Valid driver’s license required.
  • Experience preparing annual budgets and operating expense reconciliations.
  • Lease Administration experience.
  • Ability to manage multiple projects and competing priorities.
  • Strong proficiency using Microsoft Outlook, Word and Excel.
  • Familiarity with property management software systems. Experience with Yardi Voyager, MRI and AssetEye a plus.
  • Good negotiating and presentation skills (in person and on the phone), ability to work under pressure, ability to perceive problems and react quickly to effect solutions.
