This position requires the individual to work in Avalon on Catalina Island and also in Irvine in our Corporate Office.  Ability to travel is mandatory.

The Role:

The incumbent is responsible for negotiating and enforcing lease terms for commercial tenants and residential units; maintaining the Property Management System (Yardi); tracking department operating budget; ensure the cleanliness, maintenance and quality level of commercial and residential properties.

The incumbent is responsible for:

Administrative

Property Management Software: Manage the property management system (Yardi)

Budget & Accounting:  Manage the following annual operating and capital budgets designed to meet the company’s financial and strategic objectives and goals:

      • Residential
      • Commercial Business Properties.
      • Maintenance Department
      • Quality Assurance


      Track monthly departmental costs and process invoices.

Lease, License & Permit Administration:  After reviewing with Senior Management and Executive Committee, prepare leases for execution, reflecting the negotiated terms. Create special short term licenses, storage agreements and permits including revocable permits and parking licenses. Monitor and assure the compliance with provisions of leases with the California State Lands Commission. Review and evaluate potential tenants.  Make recommendations to Senior Management and Executive Committee regarding new tenants and/or lease extensions for existing properties that assist in achieving the company’s financial and strategic objectives and goals.

Bring all existing leases into compliance with Company’s financial and strategic objectives and goals as well as Company policies such as insurance requirements, regulatory requirements, and tenant obligations. 

Monitor existing leases to meet our financial and strategic objectives including:

      • Periodic rent adjustments,
      • Percentage and seasonal rents (in some cases)
      • Additional regulatory matters,
      • Additional insurance requirements, and
      • Cost/fee pass-throughs.

Land Sales:  As requested, assists in approved land sales/acquisitions by coordinating with real estate consultants, appraisers, brokers, title companies and escrow agents. Maintains files for all such transactions and monitors recordation status.

CAR Preparation:   Gather data for and preparation of Capital Authorization Requests.

Lease & File Management:  Maintain lease file documentation.

Certificate of Insurance Management: Collect, update and maintain the appropriate insurance requirements for Tenants, Licensees and Permitees.

Special Projects:  As requested, assist with special projects.

Maintenance

Coordinate activities with the Quality Assurance Manager and the Operations Maintenance team to ensure completion of scheduled improvements, brush clearance, storm drain clearance/maintenance, storm damage reporting and repairs, road closures, etc.

Ensure properties are walked daily and communicate any service related needs to the maintenance department and/or managers of the departments.

Ensure the preventative maintenance plan for all properties is executed.

Quality Assurance

Oversee Quality Assurance and Operations Maintenance departments to establish appearance standards for tenant spaces and administer these standards, identify needed repairs and manage the schedule for completing repairs on a timely basis. This requires regular inspections and tours.

Ensure properties are walked daily and communicate any service related needs to the maintenance department and/or managers of the departments.

Safety

Learn and ensure compliance with all company, local, state and federal safety rules.

Ensure that unsafe conditions are corrected in a timely manner


Minimum Qualifications:

  • Must demonstrate ability to apply principles of logical thinking to define problems, collect pertinent data, establish facts, draw valid conclusions and initiate appropriate course of action.
  • Should effectively convey ideas, images and goals to a diverse group of personalities
  • Must possess a positive attitude
  • Must possess strong negotiating skills and the ability to influence
  • Competence in personal computer skills, math, internet search, Microsoft Office Suite including Word, Excel and PowerPoint
  • Must possess strong understanding of commercial and residential leasing and documentation
  • Previous experience working with attorneys in drafting commercial and residential leases
  • Previous experience managing and leading staff to excellent performance
  • Previous experience with commercial and residential leasing
  • 5 years’ experience managing a complex, multi-location commercial leasing business
  • Economics and Accounting – Knowledge of accounting principles and practices, banking and the analysis and reporting of financial data
  • Law and Government – Knowledge of federal and state laws, legal codes and government regulations
  • Administration and Management – Knowledge of business and management principles, resource allocation and coordination of people and resources
  • Mathematics – Strong mathematical and analytical skills
  • Yardi system experience preferred
  • Plan, direct, supervise and coordinate work activities of subordinates and staff relating to leasing, maintenance and quality assurance
  • Must possess excellent written and verbal communication skills along with strong problem solving skills
  • Ability to meet deadlines and juggle a wide range of projects with ease
  • Excellent attention to detail
  • Ability to prioritize assignments appropriately with strong organizational skills
  • Ability to maintain confidentiality of information required
  • Must be able to commute to the island three days a week.
  • Present self in a neat, clean and professional manner at all times


Education and/or Experience:

  • College degree preferred
  • Certified Property Manager (CPM), Certified Apartment Manager (CAM) or Accredited Resident Manager (ARM) preferred
  • Position requires a minimum of 5 years in similar role
  • Experience with Yardi software preferred

Language Skills:

Ability to read, analyze and interpret general business periodicals, technical procedures, or governmental regulations.  Ability to effectively respond to questions from managers, clients, customers and the general public.  Bilingual English/Spanish preferred.

Physical Requirements:

  • Must be able to stand, walk for extended periods of time.
  • Must be able to lift and carry up to 25 lbs.
  • Must be able to bend, stoop, squat, stretch, push and pull on a regular basis.
  • Must have full range of overhead motions and full hand dexterity.
  • Requires visual acuity and the ability to hear clearly to communicate with owners, CEO, managers, coworkers and tenants
