Job Summary

Under the supervision of the Chief Financial Officer, the Director of Real Estate & Development is responsible for asset management and new development activities. This position will provide leadership, analysis, planning, and support to ensure the organization meets its facility / maintenance needs and development / expansion goals, in compliance with all applicable laws and regulations. In partnership with senior leadership, the Director of Real Estate & Development is responsible for the viability of the organization’s facility and expansion strategy.

 

Essential Functions and Work Responsibilities

 

Functional Category:  New Development Activities

Estimated Percent of time Spent –  50%

  • Responsible for all aspects of project planning, developing new facilities, and delivering to operations.
  • Develops expansion strategy with operations and transportation, based on demographics and demand studies.
  • Coordinates with finance department to generate pro forms and determine sources of funding.
  • Prepares all requested Board presentations and reports, including budgets, schedules, and memos.
  • Develops new acquisitions criteria – i.e. location, size, transportation requirements.
  • Collaborates with governmental relations staff to obtain State approvals to operate in designated areas.
  • Reviews real estate options and makes recommendations based on review of the market.
  • Negotiates purchase and sale agreements and subsequent modifications.
  • Develops due diligence team to undertake RFP or negotiated bids – i.e. development manager, design, engineering, property condition report, appraisal, survey, title, entitlements, environmental, preliminary operating and construction budgets, etc. Negotiates all contracts and ensures insurance requirements are being met.
  • Manages due diligence team to meet all real property contract time frames and requirements.
  • Ensures all entitlements are obtained from the proper jurisdictions in order to construct and operate the facility – city, state, and federal,
  • Coordinates on an on-going basis with legal staff and finance department to risk manage transactions and close properties in a timely manner.
  • Posts closings and manages all architectural and engineering efforts (including operations and transportation input) to construction documentation level.
  • Obtains construction permits.
  • Undertakes competitive construction bidding process to select construction team. Negotiates construction contracts.
  • Manages construction activities, values engineering, draws requests, obtains lien releases, and manages acquisition of all FF&E, telecommunications, IT, change orders, and warranty issues.
  • Coordinates with operations and transportation to activate new facilities on schedule and within budget.

 

Functional Category:  Asset Management-Existing Portfolio

Estimated Percent of time Spent – 24%

  • Provides leadership and manages day-to-day activities of facilities and maintenance staff.
  • Responsible for annual operating expense budgeting. Reviews all invoices against budget and approves as appropriate. Reviews and approves all invoices associated with property management. Identifies capital improvements and budgets for them.
  • Conducts competitive bidding for building insurance and maintenance contracts. Coordinates with vendors and negotiates contracts – i.e. snow removal, landscape maintenance, fire safety and security systems, HVAC systems, pest control, roof maintenance, etc. Ensures all vendors have proper liability insurance.
  • Coordinates capital improvement activities. Undertakes team development, design, engineering, estimating, scheduling and contracting of all improvement to the property, construction management, lien releases, warranty issues, etc.
  • Supports finance department, including refinancing the real estate, reporting, etc.
  • Serves as contact for emergencies – fire safety, police, 911 calls, etc.
  • Coordinates, in conjunction with General Counsel as appropriate, any legal issues associated with the properties.
  • Manages preventative maintenance program, including inventory and annual activities.

 

Functional Category:  Supervision

Estimated Percent of time Spent – 18%

  • Effectively supervises and manages direct reports and provides, by example and leadership, motivation and direction to employees of the organization.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable state and federal employment laws.
  • Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; recognizing and rewarding employees; corrective disciplinary procedures and practices (under direction of supervisor and in partnership with Human Resources), addressing complaints and resolving problems.
  • Ensures annual employee performance reviews are conducted in a timely and effective manner.  Evaluates performance of employees for compliance with established policies and objectives of the organization and contributions in attaining objectives.
  • Helps set the tone of the department to ensure morale, team work, and that the positive employment culture of the organization is maintained.
  • Regularly schedules leadership/management, department, and staff 1:1 meetings to provide leadership, development, and a forum for communication to ensure coordination and collaboration in meeting organization and individual goals.

 

Functional Category:  Additional Duties

Estimated Percent of time Spent – 8%

  • Attends city, county, state, and all meetings as required.
  • Reports to and works as a team member with senior leadership (CEO, CFO, COO, CIO, General Counsel) and any others as required.
  • Performs other activities as requested by the CFO and CEO.

  • Bachelor’s degree in real estate, construction management, asset management, or a related field from an accredited college/university and minimum of five years of experience preferably in medical offices, clinics, or senior housing environment; or equivalent combination of education and experience. 
  • Working knowledge and understanding of all aspects of facilities management, capital improvements, real estate management, development, construction activities, and applicable federal and state laws and regulations.
  • Strong management skills and at least three years of experience in supervising staff.
  • Extensive knowledge of project planning, accounting/budgeting, administration, and supervision.
  • Superior asset / facilities management and real estate development and leadership skills required. Demonstrated success in supporting organization growth and in the development and execution of expansion strategies.
  • Requires state issued driver’s license, personal transportation, good driving record and auto insurance as required by law.

 

REQUIRED

 

Education

  • Bachelor’s degree in real estate, construction management, asset management, or a related field from an accredited college/university

Work Experience and Qualifications

  • Minimum of five years of experience preferably in medical offices, clinics, or senior housing environment; or equivalent combination of education and experience. 
  • Working knowledge and understanding of all aspects of facilities management, capital improvements, real estate management, development, construction activities, and applicable federal and state laws and regulations.
  • Strong management skills and at least three years of experience in supervising staff.

  • Must be computer proficient and possess experience with Microsoft Word, Excel, and Outlook.
