PROPERTY MANAGER
 

POSITION SUMMARY

 

The purpose of the Property Manager position is to execute the process of maintaining and creating value in real property consistent with property owner’s objectives through the efficient balance of tenant and owner relations, financial budgeting and expense control, risk management and all other operational aspects of the property with the highest standard of professional ethics and performance quality. 

The Property Manager strives to create loyalty among customers by providing a superior level of service and by creating and maintaining positive customer relationships.  The Property Manager also plays a key role in interdepartmental communication and coordination to ensure that each process and department exceed customers’ expectations. 

Property Managers directly manage a portion of the Uniland and third-party portfolios under management contract.  The position is responsible for creating value for the customer, company, and department.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  1. Customer Service

  5. Property Management
    • Has “frontline” responsibility for ensuring customer satisfaction and loyalty.
    • Maintains close communication with the Maintenance area to ensure effective management of the physical plant.
    • Maintains close communication with the Asset Management area to ensure proper budget planning, reporting, and variance control.
    • Maintains close communication with the Lease Administration area to ensure conformity to contracts, accounting and billing, policies and procedures, and problem solving.
    • Maintains close communication with department management to coordinate efforts to develop, implement, and maintain department efficiencies, consistencies, procedures and systems.
    • Maintains a high level of communication and coordination with all company departments; is responsible for creating superior quality interdepartmental activities and communication.
    • Manages property management issues before and after regular business hours.
  6. Customer Relations                                
    • Develops an active and positive role as the primary contact with tenants and other customers.  In doing so, provides customer satisfaction in order to enhance customers’ desire to do business with Uniland and creates loyalty by strengthening relationships with customers.
    • Responds to all customer service questions and concerns in a timely fashion and to completion to ensure the company's quality reputation in promptly servicing its clients' needs.
    • Performs frequent visitation with tenants for development and maintenance of quality relationships, contract compliance, and operations.
    • Maintains a focus on prevention of problems and issues before they occur.
    • Reports and corrects customer satisfaction deficiencies.
  7. Budget / Cost Control
    • Assists the Asset Management area with creating, monitoring and reporting on property budgets and other financial reports.
    • Manages and monitors income, expense and net operating income of properties.
    • Monitors and controls expenses for proper allocation, work completion and quality.
    • Recommends revenue, income, cost control and saving ideas in any areas, such as services, utilities, procedures, equipment, etc.
    • Responsible for the overall administration of contract terms, including but not limited to Lease and Management Agreements, ensuring contract compliance, proper record keeping, and coordination with Asset Management, Lease Administration and Department Management.
  8. Property Operations
    • Oversees and manages operation of assigned properties. 
    • Undertakes immediate response to and handling of any emergency or critical operation situations. 
    • Manages all activities relating to assigned properties, including tenants, construction, building systems, contractors, utility companies and municipalities. 
    • Performs immediate inspections of properties during and after unusual or extreme weather or other natural conditions as needed.  Preparation and readiness for potential or pending conditions is critical.
    • Maintains a focus on prevention of problems and issues before they occur.
    • The Property Manager is on call per department procedures.
  9. Physical Plant Condition
    • Ensures that all properties are in top quality condition in all respects at all times.
    • Performs thorough and critical building and site inspections.  Prepares reporting of and recommendations for repair, improvements, and risk management items from these inspections.
    • Prevents and corrects condition deficiencies.
    • Continually recommends correction and improvement needs and recommendations which will sustain and/or improve condition, functionality, quality and competitive position.
  10. Leasing
    • Assists Account Executives with leasing functions such as preparation and showing of new or renewal space and meeting with existing clients regarding lease renewal.
    • Performs and manages rental, leasing and renewal of residential units in assigned properties.
    • Provides leasing, occupancy, and other reporting and analysis of residential units as required.
    • Promotes marketing programs and efforts designed to maximize occupancy in both commercial and residential spaces.
    • Manages amenities such as parking, storage, and fitness centers to maximize income and value to customers.
  11. Documentation / Processes
    • Responsible for completing thorough and accurate written and/or photographic documentation for all aspects of this position, including but not limited to tenant and vendor interactions.
    • Participates in competitive bid procurement and processes, including assembly of packages, pricing, negotiations and selection recommendations. 
    • Oversees project cost estimates, insures timely completion.
    • Controls necessary paperwork, assures proper record keeping and cost control.
  12. Supervisory Responsibilities     
    • Demonstrates leadership qualities. Maintains a strong focus on quality staff training and development.
    • Supervises direct reports.  Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
    • Insures absence coverage for all direct reports to insure no lapse in customer service, operations and protection of property, including times when a direct report position is vacant.
    • Responsibilities include interviewing, hiring, training and development of employees; planning, assigning and directing work, appraising performance; rewarding and disciplining employees up to and including discharge; addressing complaints and resolving conflicts.
    • Ensures thorough and accurate record keeping and documentation for this position and all direct report positions.
    • Ensures coordination with Department Management in completing procedures, scheduled review process, critical dates, etc., for all positions within area of responsibility.

EDUCATION and/or EXPERIENCE

The qualified candidate should possess experience in property management for any or all of the following,

  • office,
  • residential,
  • condominium, and
  • third party contracts.
The candidate should also be experienced in building operations, building asset management, and budget management. 

 LANGUAGE SKILLS Ability to

  • Read, analyze, and interpret periodicals, professional journals, technical procedures, regulations, rules, instructions, business correspondence and procedures. 
  • Write reports, business correspondence, and complete position forms.  Ability to use position systems.
  • Effectively present information and respond to questions. 
  • Speak effectively before individuals and groups.

MATHEMATICAL SKILLS Ability to

  • Calculate figures and amounts. 
  • Apply concepts of basic math, algebra and geometry.

REASONING ABILITY

  • Solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
