JOB SUMMARY
  

The purpose of this position is to perform clerical duties of moderate complexity and difficulty in accordance with the office procedures of individual departments. May include a combination of answering telephones, bookkeeping, typing or word processing, stenography, office machine operation, and filing.


ESSENTIAL DUTIES AND RESPONSIBILITIES
  


Book/reserve conference rooms.

Check HDMI connections in conference rooms daily and weekly to cover all rooms using a supplied laptop.

Do a daily walk around to make sure conference rooms are properly cleaned.

Meet and greet guests who come in, have them sign in and advise the person they are meeting. Maintain the sign in sheet.

Work with security to extend or deactivate badges. 

Check IDF closet for cleanliness and coolness.

Catering (updating catering sheet).

Update invoice sheet on Excel.

Update office directory and Emergency contact list when needed. 

Deliver mail.

Create work order in building landlord system as well as Facilities work order system.

Update Facilities occupancy plan. 

Conduct monthly Facilities inspection to include lighting, carpet, locks, restrooms, conference rooms etc. looking for painting, obstructions, loose connections, cleaning issues etc.
Schedule vendor work.

Provide Monthly Operations Report to include items such as repairs, conditions, meetings and unusual items.

Fill out Events request form or review as needed to submit request to landlord, cleaning staff and Security. 

Maintain inventory of lamps and other facilities supplies needed.

Change coffee waste bins every two days.

Update Fire Warden charts as needed.

Note environmental conditions such as hot/cold, lighting; reporting as needed.

Take monthly copy meter reads.

Collect batteries from waste bins we filled and send out accordingly.

Other duties may be assigned.

EDUCATION and EXPERIENCE
  

High school diploma or general education degree (GED) required. 
Minimum 2 years of related experience.

Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


FINANCIAL KNOWLEDGE
  


Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.


REASONING ABILITY
  


Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.
