Supervises: Assistant Property Manager and Tenant Services Coordinator
Key Responsibilities
- Assure that properties are maintained and operated at a level that A) causes Tenants to be highly satisfied and inclined to want to continue as Tenants beyond Lease expiration; B) causes potential Tenants to be positively impressed; and C) adds to the good reputation of the property and its Owners.
- Maintain a full knowledge of, and be responsible for, all activities at assigned properties.
- Respond to the legitimate demands of Tenants in a timely and responsive manner, and handle “non-legitimate” demands in an effective manner.
- Assist in coordinating tenant improvements and capital improvements at assigned properties to assure that Tenants are able to move in on schedule.
- Provide technical guidance to other property management staff.
- Oversee the preparation of communications to tenants – e.g., Rent Commencement Letters, Substantial Completion Letters, Tenant Default Letters and notifications related to maintenance, testing, etc.
- Monitor all equipment annual/semi-annual testing – including, but not limited to, elevators, RPZ devices, boilers, cooking towers and sprinklers and resolve deficiencies.
- Make sure properties are compliant with all building and fire codes.
- Rapidly respond to emergency situations and coordinate solutions with the Construction Department and emergency responders.
- Prepare the annual expense budget for assigned properties.
- Review CAM reconciliations and resolve discrepancies with Property Accountants before invoices are sent to Tenants.
- Communicate orally, and coordinate registered letter process, with any Tenant who is violating Lease terms (e.g., parking in wrong spaces, leaving garbage in wrong place, etc.) – or who is otherwise causing use-of-space or care-of-space problems.
- Assure all utility meters are being read and billed as actual (not estimated) and, at least five days prior to Tenant vacating, make sure utility accounts are switched over to Owner’s name to avoid lapse in services (gas, electric, water, etc.). Assure that a master list of meter numbers is maintained correctly. Resolve issues related to any meters/addresses that are not being billed correctly.
- Assure that “move out” and “move in” processes are completed in a timely manner and that properties are in optimum condition for leasing.
- Assure that Tenants and vendors maintain proper insurance at all times.
- Review and approve staff time sheets and monitor and control maintenance staff overtime.
- Review and approve invoices for properties and assigned projects.
- Coordinate actions with Landlord & Tenant attorneys, prepare information needed for Landlord/Tenant Court and appear in Court as Owner’s representative.
- Handle other duties as assigned or when the need occurs.
Experience Required:
- In-depth experience as Property Manager in Class A office buildings
