Seeking Executive Assistant with Property Management Experience: Property Management Solely responsible for the management and operations of 18 boutique historic buildings comprised of retail, commercial and residential tenants (over 250,000 square feet). Oversee architects and engineers on a daily basis to coordinate ongoing work for renovation projects, obtaining revised certificates of occupancy and BSA approval and also work with outside legal counsel regarding title, survey, leases, contracts, easements, leases and other general real estate matters. Manage maintenance requests by insuring timeliness of service calls and the proper dispatch of requests to building trades, analyze and oversee the maintenance of all building inspections and records, provide day-to-day oversight of contractors and vendors, perform weekly inspections to insure building and company standards are adhered to. Develop, implement and maintain a departmental expense tracking process; hold expense review meetings with department staff to review and approve all invoices, prepare requisitions and purchase orders for projects. Accountable for the leasing of commercial and retail spaces; sourcing leads, modeling and analysis, strategy development and lease negotiations, coordinating with counsel, ownership, brokers and prospective tenants to manage the lease negotiation process, initiating and completing follow-up; drafting and organizing letters of intent and term sheets; ensure timely information is secured for deal making, including liquor license issues, permitting timelines, tenant criteria, sign criteria, draft abstracts for all leases and lease related documents, ensure that all rent and additional rent items are charged, assist tenants with lease interpretations and draft correspondence pertaining to violations, collections and defaults. Review leases for lease compliance including but not limited to escalations, late charges, insurance compliance, CAM reconciliations, percentage rent, property tax escrow, sanitation/recycling and other lease obligations. Experience with Rent Stabilized assets is preferred. Marketing Responsibilities:
  • Maintain all the Listing Websites daily or biweekly (Refer to the Website login/password Sheet for detail)
  • E-mail blasting
  • Social Media Maintenance/Update
Executive Assistant Responsibilities:  
  • On call 24/7 to deal with emergency tenant issues
  • Show spaces on weekends and/or holidays
  • Maintain active calendar of appointments, meetings and general reminders
  • Prepare and follow up on all correspondence requested by Principal
  • Check principal's Voicemail and follow up
  • Compliance for Principal's various licenses
  • Preferred Quickbooks experience
  • Forward leads to respective parties when directed to do so by Principal
