Property Administrator   Description: Gemini Rosemont Commercial Real Estate is seeking an energetic and dynamic Property Administrator (PA) to add to our Team who wants to be part of a busy, successful team. The ideal Candidate will have 2+ years of commercial property management experience. We are a vivacious Team and everyone on our Team performs a significant and vital role and everyone assists where needed. We expect like-minded persons to contribute recommendations and experience where required. Our key expectations are maturity, responsibility, reliability and confidence. The PA is responsible for providing first class service to our clients. Our clients include our owners, tenants, vendors and co-workers. The PA assists in overseeing all physical and operational aspects of the properties within the portfolio and fulfilling the requirements of the management agreement. The PM reports to the Property Manager responsible for overseeing the portfolio. Duties:
  • Manage front desk
  • Manage office supplies and supply room organization
  • Manage janitorial and tenant follow up
  • Manage tenant weekly janitorial meeting; maintain notes
  • Impak, assign and close out
  • Epremise
  • Team Meetings/PowerPoint
  • Check Requests
  • New Vendor Setup
  • Maintain tenant COI
  • Maintain vendor COI
  • Maintain bldg. permits
  • AP Payscan
  • Tenant Billbacks/electrical readings
  • Water Blow down credit reporting
  • Tenant work authorizations
  • Assist with monthly reports
  • Assist with QTR newsletter
  • Assist with budget process
  • Monthly janitorial SF report
  • New vendor setup
  • Maintain tenant suite signage/monument signage/directory listings
  • Manage tenant access cards
  • KWA Conference Room reservation
  • Manage Coffee Inventory and equipment for tenant lounge
  • Work closely with tenants to resolve issues and to assist with tenant requests
  • Coordinate tenant events.
  • All other property management duties as may be assigned.  Requirements:
  • Professionalism, Tenant Relations, Interpersonal, Negotiations, Diplomacy.
  • Ability to pay attention to detail.
  • Enthusiasm and initiative when interacting with clients, team members, tenants and other related entities.
Preferred Education: Associates and/or Bachelors degree preferred. Preferred Experience: 2 + years previous experience in commercial property management. General knowledge of accounting, leases and service contracts. Desired Qualifications: General Microsoft operating system skills in using a desktop/laptop computer. Confident and strong experience in Microsoft Excel, Word, Adobe Acrobat. Basic knowledge in accounting software a plus. Experienced in drafting correspondence memos, letters etc. Must have service oriented demeanor. Desired Skills: Ability to handle Multiple Projects, Time Management, Planning, Flexibility, ability to work well in a small fast paced environment, ability to work independently as well as be a team player with a positive attitude, ability to demonstrate high levels of oral and written professional communication skills in all aspects of the job with co-workers, vendors, suppliers, contractors and tenants.
