JOB SUMMARY


Under general supervision, upholds the integrity of Client s real estate portfolio data and income leases for owned properties. Inputs, maintains, organizes and reports on information regarding lease dates, dollar values and financial accounting transactions into a lease management software database. reconciles AR & AP transactions to ensure accurate and current lease information is maintained. Helps identify opportunities for process improvement and drive additional value for clients while providing a high quality of service for our internal and external users. 


 

ESSENTIAL DUTIES AND RESPONSIBILITIES


Assists manager in resolving critical issues for clients by researching and gathering information about payment transactions, lease terms and other relevant items as requested.
Responsible for performing specific and overall support for department. Conducts moderate to complex research and analysis of commercial real estate properties within the asset management department.
Gather and summarize data from a variety of sources for inclusion in management reports, and other documents; performs independent research and prepares information for special projects as assigned.

Generates, reviews and understands reports; uses aggregate data from multiple sources to assist in creating a complete analysis, improvement and/or recommendation.
Assists in the coordination and implementation of strategic platform strategies; performs research and analysis to support those strategies. Supports department in varied areas of analysis including one or all of the following: real estate industry/market, management reporting, and variance analysis, budgeting, forecasting, strategic planning and process efficiencies.
Identifies opportunities for improvements by and among the Asset Management team; manage and implement initiatives, aiming at scaling up the team and its impact such as planning optimization and process improvement projects or by creating and maintaining a knowledge sharing platform.
Supports clients and transaction team through new asset transitions, with documentation management ensuring that all documents and data are accurately captured.

Reviews incoming correspondence, lead initiative to determine appropriate action required. Leads and monitors issues for appropriate follow up. Acts as a liaison between departments.

Prepares and distributes periodic and ad hoc reports and meeting minutes in a timely, accurate manner. Runs standard reports for management review and runs ad hoc reports with assistance. Assists with the design of reports utilizing a variety of software tools.

Creates and maintains Asset management files ensuring they contain current, accurate information.

Drafts approval leasing packages for tenant related transactions.
Prepares lease abstracts and edits them for accuracy. Edits narratives to support computer generated reports. Provides lease analysis and interpretation of lease information to clients.
Assists with processing and monitoring department financial data as it relates to budgets, accounts payable, and generating various financial queries and reports.
Assists with annual operating expense reconciliations. Conducts monthly and/or quarterly rent roll reconciliations with lease obligations
Performs other duties as assigned.



SUPERVISORY RESPONSIBILITIES


No formal supervisory responsibilities in this position. May provide informal assistance such as technical guidance and/or portfolio specific training to co-workers.

EDUCATION and EXPERIENCE


High school degree or general education degree required plus a minimum of (2) two years related work experience, preferably including property management or consulting or analyst. Bachelor's degree from a four-year college or university with Legal, Accounting, Finance or Real Estate preferred.



COMMUNICATION SKILLS


Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, co-workers, and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.


FINANCIAL KNOWLEDGE


Requires basic knowledge of financial terms and principles. Ability to calculate simple figures such as percentages.


REASONING ABILITY


Ability to understand and carry out general instructions in standard situations. Ability to solve problems in standard situations. Requires basic analytical skills.


OTHER SKILLS and ABILITIES


Intermediate knowledge of computer software and hardware (i.e. Microsoft Office Suite Products). Ability to work well under pressure. Advanced organizational skills.

Decisions made with general understanding of procedures and company policies to achieve set results and deadlines. Errors in judgment may cause short-term impact to co-workers and supervisor and clients.
