Vice President of Property Management
at Compass Commercial Asset & Property Management
POSITION SUMMARY: The V.P. Property Management is a key member of the Compass Commercial Real Estate Services organization. The V.P. shall supervise the property management and facility maintenance team overseeing all operational aspects of a third-party management portfolio comprised of over 2.7M square feet of office, retail and industrial properties of varying sizes within the Central Oregon region. The V.P. will also serve as a property manager for a portion of the portfolio.
The ideal candidate shall possess strong knowledge of building and mechanical systems with construction or tenant improvement background, familiar with bidding, negotiating and managing vendor contracts, adhere to best management practices important to maintaining the physical asset, and manage portfolios to sustain and/or increase profitability and value, performing in a manner that contributes to client retention. The V.P. is responsible for providing guidance, instruction, training, and leadership skills to inspire their team to perform at their optimum in an encouraging work environment. The V.P. must be able to assign clear job descriptions to their staff and communicate with and educate them in a clear and positive manner.
ESSENTIAL FUNCTIONS: Including but not limited to:
- Act as a property manager for multiple properties which includes all functions of day-to-day management, repairs and maintenance, vendor contract administration, tenant and customer relations, accounts payable, budgeting, monthly financial and narrative reporting & variance analysis, common area charge reconciliation, construction, municipal relations, risk management and much more for a large and diverse portfolio of properties consisting of retail, office and industrial.

- Assist in the development and implementation of the company’s strategic plan.
- Develop Departmental goals and objectives and implement measures to ensure successful achievement.
- Lead a team of property managers, assistant property managers, administrative and facility maintenance personnel while creating a positive work environment.
- Run a property management department including departmental budgeting and cost control.
- Attract, hire, mentor and lead a highly cable team comprised of employees and third party vendors to successfully implement each property’s business plan.
- Establish and maintain policies and procedures in accordance with industry best practices.
- Grow property management income including management, leasing, sales, construction and other ancillary fees.
- Acquire new accounts and onboard new properties.
- Work alongside in a cooperative nature with real estate brokers assigned to assets under management.
- Oversee the development and successful implementation of all third-party management plans in order to accomplish the goals and objectives of each third-party property owner.
- Build and maintain strong client relations by providing thorough, timely and accurate communications of budgets, financial reports and property issues.
KEY RESPONSIBILITIES:
Financial Reporting and Control:
- Prepare and evaluate annual department budgets.
- Provide monthly review of income and expense line items and develop strategy for meeting or exceeding departmental financial goals.
- Maintain knowledge of budget variance monthly.
Management and Supervision:
- Oversee assigned staff (listen to, counsel and resolve all personnel problems to the best of your ability).
- Create a positive work environment with clear communication and expectations.
- Encourage employee development and professional goal setting.
- Counseling statements for assigned staff personnel.
Asset and Property Management and Contract Administration:
Oversee all property operations and ensure the proper policies and procedures are followed. Manage a portion of the portfolio and provide support for other property managers. Communicate regularly with the president as well as the shareholders. Ensure terms of property management contracts with clients are maintained.
- Adhere to the AMO® Code of Professional Ethics as outlined by the Institute of Real Estate Management.
- Ensure third-party contractors are hired in accordance with company policies, procedures and standards.
- Monitor all proposals and contracts for large projects at sites, check work in progress when a supervisor is unavailable to do so.
- Oversee the Principal Broker requirements of lease and sale transactions within the Property Management Department.
- Seek permission for excessive amounts not authorized within the Property Management Agreement.
- Provide marketing strategy to generate rentals or for rent increases.
- Be responsible to assist with creative and responsive advertising.
- Conduct regular property inspections and provide feedback to staff for all managed assets.
QUALIFICATIONS:
Knowledge, Skills and Abilities:
- Excellent human relation skills demonstrating the ability to deal with clients, tenants, vendors and stakeholders.
- Effective oral and written communication.
- Enthusiasm, good attitude, trustworthiness, personal integrity and honesty.
- Team player with strong leadership.
- Excellent customer service.
- Ability to exercise good judgment and self-control.
- Impeccable criminal record check (bondable).
- Excellent understanding of financial statements and accounting reports.
- Computer competency in Microsoft Office, with strong proficiency on Excel and Word, as well as the property management software Yardi.
EXPERIENCE AND EDUCATION:
- Minimum 10 years of commercial property management experience preferably in a diverse property type setting
- Bachelor’s Degree or higher in Business/Finance
- Business ownership experience
- Financial management experience
- Oregon Principal Real Estate Broker License or able to attain in timely manner
- CPM designation required or pending. Ability to hold the position of Executive CPM within the Company.
- Competency in Yardi property management software.
PHYSICAL REQUIREMENTS AND WORK ENVIRONMENT: This position requires computer and office work in a typical office environment. Offsite property visits may require bending, climbing stairs and ladders, kneeling, lifting up to 15 pounds, stretching, squatting and walking for extended periods of time.
