Job Description
Manage and administer the day-to-day operations of an in-house portfolio of office, industrial and retail product. tenant requests/property service logs; tenant HVAC usage; purchase spreadsheets; etc. Coordinate and direct services such as property maintenance, repairs, and supplies with day porters, maintenance personnel, and vendors. Perform other duties as assigned.
TASKS:
· Prepare new tenant welcome packages & commencement letters.
· Receive insurance certificates and verify lease funds are received prior to move-in.
· Maintain ongoing positive relationships with tenants and vendors.
· Review and answer correspondence from tenants and vendors.
· Coordinate with vendor & keep record of yearly backflow tests required by the city.
· Track vendor insurance certificates.
· Maintain purchase order system and receipts for project purchases.
· Run KW trends on HVAC computer.
· Coordinate vendors and follow up on inspection of the interior & exterior of properties; walk buildings & suites to verify they are in proper condition.
· Compile, store, and retrieve management data using computer.
· Create leasing flyers for vacant office and industrial space.
· Make recommendations to management with regards to maintenance or replacement of various systems/items throughout properties.
KNOWLEDGE:
· General knowledge of administrative & office procedures and systems such as word processing systems, filing & record management systems, form design principles, and office terminology.
· Knowledge of computer operations with emphasis in Microsoft Word & Excel.
SKILLS/ABILITIES:
· Communicate effectively with others, both verbally & in writing.
· Working knowledge of basic office machines.
· Ability to find information and identify essential information.
· Coordinate actions in relation to others' actions.
· Identify the nature of problems and reorganize information to get a better approach to problems or tasks.
· Exercise discretion and independent judgment.
