Team Overview:
The Facilities Team manages our office locations in Cambridge, MA, Phoenix, AZ, and Washington, DC. The team is comprised of members from each location and is centrally managed by the AD based in Cambridge. The Facilities Team works with other operational teams to ensure that the Institute’s buildings and grounds are safe, well-equipped, and welcoming for our colleagues and guests.

Position Overview:
The Lincoln Institute of Land Policy is looking for a proactive Facilities Manager to join the Facilities Team. As a member of the team, you will manage the daily operations of our Cambridge properties (three office buildings, two residential) through strong personal accountability, collaboration, and positive result-driven outcomes. The Facilities Team hears staff requests, proactively addresses issues, and makes decisions with collaboration.

What You Will Do:
  • Manage the daily operations of the Cambridge facilities
    • Manage reservation systems for parking, office space, and meeting rooms
    • Schedule front desk coverage, including participating in coverage
    • Manage office inventory by maintaining appropriate quantity and quality
    • Monitor specific facilities budget categories, such as office supplies and employee provisions
    • Conduct routine checks of Cambridge properties and grounds to proactively address maintenance issues
    • Ensure that the Cambridge buildings are well-maintained and in compliance with local, state, and federal regulations
  • Manage the daily needs of the President’s House
    • Manage access requests to President’s House
    • Handle residents’ requests for supplies or services
    • Ensure guest suites and apartment are prepared to host 
    • Supervise Facilities staff and external vendors for the Cambridge office
  • Provide support and accountability for office support staff
    • Ensure external vendors successfully deliver services
    • Meet regularly with the AD
    • Provide feedback and updates regarding repairs, maintenance, and system improvements to drive cost-effective solutions
  • Align management of Cambridge facilities with other LILP office locations
  • Coordinate with Events Team on events held at Cambridge properties
  • Procurement Assistance for the Associate Director
    • Track contract deliverables, payments, and end dates
    • Process invoices for payment
    • Contribute to annual budgeting process
  • Other duties as needed

What You Will Need:
  • 6-10 years of experience in a role that demonstrates transferable skills 
  • Bachelor’s degree in a relevant field or equivalent experience.
  • Strong willingness to learn.
  • Effective communication and leadership skills.
  • Strong organizational and time management skills.
  • Strong critical thinking skills
  • Strong individual decision-making tied securely with collaborative alignment
  • Demonstrated accountability (e.g., project follow-through, keeping budgets, documenting procedures, etc.)
  • Demonstrated ability to exercise discretion and judgement.
  • Proficiency in basic office software (e.g., Microsoft Office).
