The Role
We're looking for a detail-obsessed Leasing Coordinator to be the operational backbone of our leasing function. You'll own the administrative lifecycle of every lease — from application through renewal — and keep our records, compliance filings, and tenant ledgers clean and current. This is a high-accountability support role for someone who likes checklists, deadlines, and getting the details exactly right. It's also a strong entry point into institutional multifamily real estate for someone eager to grow.
What You'll Do
- Prepare, distribute, and track new leases, renewals, and riders across the portfolio, ensuring every document is complete, accurate, and executed on time
- Manage renewal pipelines proactively — flag upcoming expirations well in advance and coordinate notice deadlines so nothing lapses
- Process rental applications: collect documentation, run and organize credit/background screening, and prepare files for approval
- Coordinate move-ins and move-outs, including scheduling, key handoffs, unit inspections, and security deposit paperwork
- Maintain tenant and property records in RentManager, keeping ledgers, charges, and payment activity reconciled and up to date
- Prepare and track required disclosures and compliance documents (e.g., lead-based paint, window guard, sprinkler, and Good Cause / rent-regulation notices)
- Support accounts receivable: monitor delinquencies, prepare rent demands and notices for review, and coordinate with counsel on escalations
- Serve as a first point of contact for tenant inquiries, delivering prompt, professional, and organized communication
What You Bring
- 1–3 years of experience in residential leasing, property management, or real estate administration (NYC multifamily strongly preferred)
- Exceptional organization and attention to detail
- Comfort managing multiple deadlines simultaneously without dropping any
- Strong written and verbal communication skills and a professional, service-oriented demeanor
- Proficiency with property management software (RentManager experience a plus) and Microsoft Office
- Working familiarity with NYC/NYS residential requirements (rent stabilization, Good Cause Eviction, HSTPA notice periods, mandatory disclosures) — or the aptitude and eagerness to learn them quickly
Compensation & Benefits
- Salary range: $55,000–$75,000, commensurate with experience
