Job Description
Role and Responsibilities:
- Maintain direct accountability for developing and managing budgets across multiple projects. Coordinate with architects, consultants, and contractors. Monitor progress, review contracts, and approve payments.
- Prepare contracts, exhibits, work authorizations, change orders, closeout packages, and related documentation.
- Ensure accurate budget tracking and variance reporting for projects.
- Review and process contractor G702/G703 pay apps.
- File and save project documents on the shared drive using the company naming convention.
- Coordinate insurance certificates with vendors and staff as required by contract documents and corporate policies.
- Assist the Project Manager and Superintendent with the day-to-day administration of projects.
- Maintain and produce meeting minutes.
- Travel to project sites within the New York Metropolitan area.
- Provide additional administrative support to Project Managers and Superintendents for submittals and job closeout documentation.
- Follow up with vendors, subcontractors, and clients to ensure approval and return of all project documentation.
- Use the company’s accounting software to run project reports.
- Other duties as assigned.
Skills and Requirements:
- Candidates should have a minimum of three years of experience.
- Experience with a construction, architectural, or property management company, including major renovations and tenant improvement/interior work.
- Candidates must have experience with AIA G702/G703 forms.
- Candidates must work well in an active office environment.
- Candidates should possess a desire for professional growth and development and demonstrate the ability to take initiative.
- Knowledge of construction principles, techniques, and procedures.
- Proficient with Microsoft Excel and Word, as well as other construction-related software. Experience with Yardi and Textura is a plus.
- Ability to effectively present information in oral, written, and graphic form.
- Ability to communicate effectively with management, staff, and outside entities.
- Demonstrated skills in organizing and evaluating information and proactively finding solutions.
- Working knowledge of calendar and scheduling, document management, and document control.
- Bachelor’s degree in engineering, construction management, or architecture preferred, but not required.
