Job Description

Essential Responsibilities Tenants

  • Maintain excellent tenant relations through professional communication
  • Conduct frequent visits, problem solve proactively, manage any problems or issues diplomatically
  • Understand specific lease requirements
  • Ensure the team enforces the building policies tactfully (details to be given)
  • Ensure the team coordinate move-ins and move-outs per company procedures (details to be given)
  • Ensure the team maintains COI on all tenants and ensure they are current and meet lease requirements
  • Assist when requested with leasing and renewals
  • Assist when asked with construction projects
  • Review incident reports, then advise on possible corrections
  • Have team maintain Tenant notification list


Properties

  • Review operating costs for potential savings and approved expenditures after verification
  • Oversee both in house and vendor repairs, construction and preventative maintenance
  • Ensure team compliance with company rules and local and state codes
  • Walk and or drive the property multiple times a week
  • Review property cleanliness: grounds, restroom, and common areas are all being maintained to a high standard
  • Ensure the engineering team regularly inspect all building equipment and systems to ensure that they are operating efficiently and correctly
  • Ensure the team develops and maintains emergency procedures and preventative maintenance programs for all buildings. Review such procedures and have contingency plans.
  • Always have access to key contact and emergency information
  • Review, negotiate (upon request) and you or your team evaluate contracts with vendors; confirm that the team ensures the vendors maintain the proper COI per company requirements
  • Approve invoices, assist the accounting department as requested
  • Assist with budgets (when requested) and variance reporting
  • Be knowledgeable on local codes and ensure compliance
  • Maintain emergency contact list
  • Under your direction have the team create and plan scheduled calendar of events, amenities for tenants to foster sense of community


Staff Responsibility

  • Ensure the Team is checking property cleanliness (a top priority); which includes (by your team) daily cleaning crew and porters inspections
  • Manage multiple teams leadership (Engineering, security, cleaning)
  • Ensure all billable work orders are completed and submitted
  • Ensure team is always tenant focused and hospitable, including a professional appearance
  • Assist with team reviews; share performance concerns and praises with senior management on a monthly basis
  • Communicate with senior management at least weekly, and as soon as reasonably possible in case of emergency


Requirements

  • Commercial Office (not residential) Experience of at least 5 years required
  • Computer literacy
  • Ability to communicate politely and effectively by email required
