This position will be based in Beverly Hills, with occasional meetings in Westlake Village.
TKJ Management, Inc. is currently responsible for the management of three mixed-use medical office buildings & several single-story retail buildings all located in the City of Beverly Hills, CA 90211:
Property 1- Mixed-Use Medical Office: ~115,000 SF
Property 2- Mixed-Use Medical Office: ~81,000 SF
Property 3- Mixed-Use Medical Office: ~26,000 SF
Property 4 – Single Story Retail: ~12,500 SF
Position Overview
The Senior Property Manager oversees day to day management activity, strategic operations and tenant experience across the portfolio. The ideal candidate is a proactive leader with commercial property management expertise who balances exceptional tenant service with operational excellence and asset value preservation.This is an exceptional opportunity for an experienced commercial property management professional to manage a class “A” real estate portfolio from a long-term hold perspective, and to grow along with the family business.
Key Responsibilities
- To the Tenants:
- Ensure notices are delivered and received in a timely manner
- Oversee all day-to-day operations including lease administration & compliance, rent collections, vacancy management, marketing initiatives, timely renewals & tenant retention, parking operations
- Maintain the common areas of each property in a first-class condition
- Conduct regular property inspections and maintain a schedule for preventative maintenance on all property, plant and equipment. Proactively identify issues that need attention and mitigate tenant disruption.
- Foster positive tenant relationships through exceptional customer service, timely communication and prompt resolution to concerns.
- Manage on-site building engineering & porter resources efficiently.
- To the Ownership & Management:
- Regularly communicate any ideas to improve operational efficiency or back-office workflow
- Track and verify all on-site work that is done and provide timely approvals for invoice payment
- Monitor & communicate lease dates, renewals, expirations, escalations, monthly parking to the back office. Collaborate with ownership in preparation of LOIs and review of leasing documentation.
- Routinely update and maintain accurate records of all property management activities.
- Oversee all tenant improvement, building maintenance & other improvements in an efficient, safe, code-compliant manner and in accordance with the building’s rules and regulations.
- Create and update a schedule of capital expenditures for building property, plant and equipment
- Update budgets annually for each building in the portfolio.
Core Competencies
- Advanced knowledge of commercial property operations and asset management
- Excellent organizational skills with strong attention to detail
- Familiarity with commercial real estate billing, bookkeeping, and maintenance software
- Proficiency in Microsoft Office, Adobe Acrobat with some knowledge in Illustrator / Print Material creation
- Exceptional tenant service and relationship-building ability
- Ability to prioritize tasks and perform effectively in a fast-paced environment
- Ability to efficiently manage the property management and maintenance personnel
- Strong written and verbal communication skills
- Ability to travel regularly between multiple nearby properties and attend off-site meetings as required
- Proficiency in preventive maintenance planning and property operations, budgeting and reporting
- Ability to manage and lead with integrity, professionalism, discretion and confidentiality
Qualifications
- Bachelor’s Degree
- Minimum of 7 years of commercial property management experience, preferably managing Class A office or mixed-use properties, CPM or CCIM designations are a plus
- Demonstrated expertise in lease administration, building operations, capital projects and tenant relations
- Strong financial and analytical skills, including budgeting, forecasting and operating expense management
- Experience supervising property management, engineering, maintenance and vendor teams
- Strong references
- Added benefit: proficiency in languages other than English
Physical Demands
Must be able to stand, walk, and move through properties for extended periods; use stairs, ladders, and step stools; travel between sites; work outdoors in varying weather; and sit or stand for extended periods while performing administrative and management work.
