We are seeking a professional, organized, and dependable Receptionist/Office Administrator to support our Irvine office. This individual will manage the front desk, welcome visitors, assist employees, and help ensure that daily office operations run smoothly.
Key Responsibilities
- Greet visitors, answer and direct incoming calls, and provide a welcoming, professional front-desk experience.
- Manage incoming/outgoing mail and shipments; coordinate with building management and office vendors as needed.
- Maintain conference rooms, common areas, and the office kitchen; monitor and order supplies, snacks, and beverages.
- Coordinate conference room scheduling and assist with meeting preparation, including ordering lunches and refreshments.
- Provide administrative support to executives and team members, including filing, scanning, data entry, and document preparation.
- Handle additional administrative tasks as assigned, as responsibilities may shift based on daily office needs.
Qualifications
- Previous receptionist, office administration, or customer service experience preferred.
- Professional, friendly, and dependable, with excellent communication skills and comfort interacting with senior executives.
- Strong organizational skills and attention to detail; able to manage multiple priorities in a fast-paced environment.
- Proficient in Microsoft Outlook, Word, Excel, and Teams.
- Able to maintain confidentiality and exercise good judgment.
- Reliable transportation and consistent attendance required.
