Job Description
SUMMARY
We are seeking an Executive Vice President of Operations that will lead and manage the majority of the Company’s operational functions for our 80-person (and growing), national, healthcare real estate development and investment company. This individual will ensure that the operational teams effectively and proactively enable the firm to pursue and meet its aggressive growth plans and strategic objectives, while mitigating risk and maximizing operational efficiencies across multiple business lines.
This role includes ensuring the Company has adequate staffing, core competencies, systems, policies, procedures and practices in place to execute the Company’s goals and ramp up its development volumes, assets under management, new business lines and opportunities, and overall profitability. The position will also assist with structuring and closing loan and joint ventures agreements, ongoing document compliance, and other ad hoc transactional responsibilities.
DIRECT REPORTS: Department heads in Asset/Property Management, Information Technology, Human Resources, and Risk Management. This position will also work in collaboration with one of our Managing Partners on operational oversight of our Design & Construction group.

KEY RESPONSIBILITIES
Leadership
- Understand the growth and business objectives of the Company; help facilitate growth in existing and new product lines; assist in setting portfolio, department and Company performance metrics; communicate vision and serve as role model; mentor and motivate staff to prepare and meet Company goals
- Manage direct reports; set workload, assignments and priorities; meet with employees and other management members to proactively seek areas of operational improvement and risk mitigation
- Establish and administer employee compensation structures; prepare ongoing performance goals and administer periodic performance reviews; oversee hiring and training process of Company employees
- Review, approve, and monitor departmental and portfolio budgets; maximize revenues and manage expenses
- Assess material Company risks; ensure Company initiatives and policies are being documented and followed through Q&A, internal audits, etc.
Design & Construction
- Work with Managing Partners, development group leader and managers to ensure development projects are on-budget, on-time, and meeting or exceeding revenue expectations
- Continually probe and challenge those coordinating design and construction and key project participants to understand and explore potential obstacles such as seller, municipality and third-party requirements and obligations, permit and entitlement timing and qualifications, environmental and title issues, etc. that can lead to potential project risks, cost increases and delays; track predevelopment dollars, approved spending limits and understand monetary exposures
- Understand and review material deviations to Company’s standard contract forms
- Ensure tenant space planning and tenant improvement build-out is timely and within budget as per lease agreements, construction schedules, and tenant expectations
- Focus on continuous improvement and development of the department through peer reviews, lessons learned and applied in project and quality assessment review, industry trends, and consistent adherence among team members
- Approve and sign project change orders and material contracts
- Interface with and maintain positive relationships with third-party owners, institutional investors, operators and joint venture partners
- Coordinate with internal legal counsel to ensure the Company and its applicable employees maintain all necessary brokerage licenses
- Negotiate property and asset management agreements with capital partners and ensure compliance and maximum revenue and reimbursement
- Assist head of Asset Management with developing and implementing leasing and marketing strategies, including identifying and contracting with third party brokerage firms
- Ensure the effective transition of completed development projects, acquisitions and recapitalizations into the various company departments
Information Technology
- Understand IT needs and desires from operational leaders and users; seek additional operational effectiveness and efficiencies through existing system enhancements, new systems, better inter-departmental communications, programs and procedures
- Ensure proper system security safeguards are in-place and periodically tested through internal and external audits
- Ensure proper disaster recovery plan, back-up data and periodic testing
- Maintain proper data and records management and retention policy
Risk Management
- Establish policy and proper insurance coverage and limits for Company and its projects; seek synergies and alternative structures to reduce costs and improve coverage
- Manage relationships with outside risk management consultants
- Meet with department heads and review business processes; identify major risk areas and implement policies and procedures to minimize risk and improve efficiencies across departments; create internal audit function to test policy adherence
- Ensure proper contractor, architect, tenant and vendor insurance compliance
Human Resources
- Oversee preparation of new employee offer letters, hiring recruiters, etc.; handle employee terminations and other HR issues
- Ensure compliance with applicable state and federal laws
- Oversee employee review and goal setting processes
- Review, select and renew annual health insurance and other benefit packages
- Ensure updates and amendments of Company employee manual and other corporate policies as needed
- Play lead role in assessing and maintaining a consistent company culture; identify employee concerns, areas for cultural improvement, and adverse and favorable behavioral trends and implement programs to make work life more enjoyable and productive
- Assist with debt negotiations/broker management/documentation/closing process when significant project volumes; assist with preparation of financing books and meeting capital partner due diligence requests as needed
- Work with CFO to ensure compliance with capital documents, amend documents and transactions as needed, obtain capital partner consents, and other ad hoc projects
- Assist or oversee the closing process for specific transactions as needed
- BS/BA degree (MBA preferred)
- Proven experience as COO, EVP/SVP/VP of Operations or similar senior or executive-level position(s), with demonstrated ability to increase operational performance, manage risks, create synergies across department and business lines, and scale a company to meet rapid growth opportunities
- Experience overseeing processes for design & construction for a real estate development company and asset/property management and leasing
- Understanding of finance, joint ventures and legal/transactional terms and processes for real estate
- Experience with healthcare real estate a significant plus, but not required
- Sound judgment and flexibility to prioritize and handle multiple assignments at any given time while autonomously maintaining commitments to promises and deadlines
- Ability to assess common or recurrent problems and develop and implement effective solutions; ongoing focus on continual improvement and efficiencies; vision to create and implement synergies across departments and the entire Company
- Ability to prioritize and communicate to staff key objectives and tactics necessary to achieve team and company-wide goals
