Position Summary

Job Title:  Program Coordinator

Job Description:
In this role, you will be an integral member of the program team responsible for supporting the delivery of a rationalization program with initiatives and projects of varying size, complexity, and skillset. You will be responsible for leading, organizing and controlling program and project activities, under the direction of and in close collaboration with the Program Director. This is a unique opportunity for an exciting role with access to multiple specialties, cultures, and tasks to develop you as a well-rounded professional.

Responsibilities:
Program governance:

  • Prepare the agenda for the Program Management Office meetings; coordinate and collaborate with project and stream leaders for content preparation to ensure quality and consistency
  • Minute the meetings (PMO, Steering Committees, ad hoc reviews) and consign the actions and decisions in the relevant trackers
  • Own the trackers for progress, actions, and decisions across all platforms, keeping them up-to-date and aligned
  • Follow-up on open action items to ensure timely closure and raise any delay to Program Director
  • Keep the Program Director and team informed of project status and issues that may impact delivery
  • Support the preparation and coordinate compilation of the program various governance meetings
  • Issue Purchase Orders and assist the Program Director in the review of Program financials
  • Effectively and accurately communicate project/program information to stakeholders and teams
  • Communicate ideas for improvements with a constructive attitude, and contribute to developing this attitude in other's Pipeline platform
  • Support the Project Managers’ community through the various stages of the program initiatives
  • Monitor and report on pipeline progress, actions, and activities
  • Support the Program Director and PM representative in standardizing approaches, methodologies, and documentations
  • Lead the continuous best practices and lessons learnt processes on the various projects and compile them in the Knowledge Management platform
  • Assist and support project managers on any reporting requirement Knowledge management platform
  • Lead the knowledge management platform of the program
  • Animate, coordinate and ensure delivery of streams under the KM platform with the support of the global GWS teams and the larger organization
  • Develop, review and organize content to ensure coherence, quality, alignment in format and content quality across documents
  • Define and implement document versioning process, document validation process, review and update processes
  • Define and run training programs
  • Choose appropriate internal tools and communication channels to support KM platform

Requirements:
  • Bachelor’s or master’s degree in Business Management, Real Estate, Engineering, or other relevant area of expertise
  • Effective communication skills including verbal, written and presentation skills
  • Proven ability to work effectively both independently and in a team
  • Strong multi-tasking and organizational skills
  • Leadership (leading by example and modeling behaviours, encouraging working and learning networks, empowering others to act with accountability)
  • Rigor, discipline, and diplomacy; problem-solving, curiosity and eagerness to learn and develop
  • Cultural awareness, willingness, ability and desire to work across countries, cultures and expertise
  • Exposure to or interest in leading projects and/or supporting Project Managers in the development and delivery of projects
  • Exposure to/interest in Real Estate portfolio optimization programs a plus
  • Exposure to/interest in cultural transformation programs a plus
  • Good working knowledge of MS Office, Jive (internally Wave), Adobe suite, MS Project
  • Fluent in English (excellent verbal and written skills); French a plus

Start / End Dates:  Nov 2019 - May 2020 (an extension is possible)
