The Leasing Coordinator will provide comprehensive support to the leasing team. In this role, he/she will work closely with all members of the team providing assistance in the organization of market data, management of the VTS and CRM databases, full transaction support, and interfacing with the third-party brokerage community.

Essential Duties and Responsibilities:

Information Management:

  • Work closely with the Asset Services team and brokerage community to update and maintain accurate information in VTS, Costar, CRM databases and internal Leasing Team trackers, including but not limited to the following areas:
    • Tenant client contact information 
    • Building vacancy information 
    • Lease comparables 
    • Sales comparables 
    • Tenants in the market
    • Property stacking charts (w/ROFO flow charts) 
    • Quarterly statistics​​​​​​
  • Prepare and contribute to weekly status reports and updates
  • Prepare quarterly market and leasing statistics for quarterly calls, strategic planning meetings, and other reports as required by the corporate office.

Transaction Support:

  • Work closely with the leasing team members to achieve quarterly and annual goals by providing the following support:  
    • Implement leasing and marketing programs including supervision of exclusive brokers on projects
    • Conduct property showings, introduction meetings and appropriate follow up with appropriate teams
    • Draft and edit lease proposals
    • Conduct financial analysis and deal comparisons
    • Compile lease documentation at the completion of transactions 
    • Manage commission payments and invoicing
    • Manage listing agreements with all third-party brokerage firms
  • Execute smaller leasing transactions from beginning to end with close supervision from team members. Includes initial tour, LOI and lease negotiations and transition to RED/Asset Teams.
  • Support strategic leasing initiatives on both an asset and tenant relations basis 

Administrative Support:

  • Scheduling meetings and conference calls as it relates to meetings with clients and third party vendors, deals, projects, and events
  • Organize appropriate materials for meetings and projects

Qualifications and Experience:

  • Bachelor’s degree required.
  • Practical working knowledge and experience in leasing, marketing or real estate industry related fields preferred
  • Oral and written communications are critical and required with demonstrated interpersonal skills and ability to interact both internally with other Company members, and externally with prospective tenants, contractors, architects, consultants and other project team members
  • Working knowledge of all Microsoft Office Products, including Excel, Word, Outlook, Power Point and Access
  • Candidates should possess strong customer service skills 
  • Proven time management and organizational skills 
  • Results oriented, extremely proactive and highly responsive with great attention to detail; strong and efficient work ethic 
  • Ability to work overtime, as needed
