Job Description

Jamestown is recruiting for an Assistant Property Manager at the Innovation and Design Building in Boston. The Innovation and Design Building (IDB) is located in the Boston Marine Industrial Park, part of the Seaport's Innovation District nestled between downtown and South Boston, and has transformed from its 1918 origin as an Army storehouse into a hub of Boston’s innovation economy. Now housing everything from marine industrial firms and tech startups to the Boston Design Center, the team behind IDB is focused on bolstering life science lab space. The responsibilities of the Assistant Property Manager include active involvement in tenant relations, property events, security, property administration, contract performance, property appearance, property inspection, community relations, and various reports to clients, tenants, and Jamestown departments.

Essential Job Functions:

  • Preserve value of the asset
  • Minimize exposure to lability through routine property site inspections
  • Receive tenant requests for service. Record and communicate the details to appropriate property staff or dispatch personnel to respond. Follow up to ensure task completion and tenant satisfaction.
  • Coordinate and assist with tenant move-in and move-out.
  • Coordinate and assist with new tenant receptions and orientations.
  • Assist in maintaining the tenant information manual and be alert for the need for updates to ensure content is current and correct.
  • Prepare and send advisory notices to tenants as directed.
  • Assist the property manager or other staff members in obtaining certificates of insurance (COIs) from tenants and ensuring each certificate is current and compliant with the underlying lease.
  • Assist in preparing claims and loss prevention reports.
  • Maintain files, both paper and electronic, and ensure their retention in the appropriate folder and their preservation for prescribed periods.
  • Prepare and maintain a contractor/vendor list.
  • Enter information in databases, blank forms, checklists, and computer applications for reporting, lease administration, property inspection, and other purposes.
  • Assist in collecting, preparing and managing documents related to bidding and contracting, and capital expense projects.
  • Assist in preparing budgets, handling invoices, processing accounts payable, and other bookkeeping functions as needed.
  • Assist property manager with review and approval of monthly bill back and rent charges for property.
  • Assist the property manager with rent collection from tenants.
  • Receive sales reporting from Tenants monthly and process percentage rent.
  • Serve on the property’s emergency response team. Assist in building evacuation and other functions of the emergency action or similar plan, as directed.

 

Required Experience:

  • Minimum of three years of experience in a property management setting of Class A office, retail, life science or mixed-use properties.
  • Experience in preparing annual budgets, collecting rents, paying bills, forecasting and analyzing variances.
  • Experience in bookkeeping, accounting, or property management software.
