LBA Logistics & LBA Realty “LBA” is a full-service real estate investment and management company headquartered in Irvine, CA with a diverse portfolio of office and industrial properties in major markets throughout the U.S. We are a privately held company that was founded in 1991 and are comprised of 220 employees. Our markets reach across the U.S. including California, Colorado, Washington, Oregon, Nevada, Arizona, Texas, Illinois, Indiana, Ohio, Kentucky, Tennessee, New York, New Jersey, Pennsylvania, Maryland, South Carolina, Georgia, and Florida. LBA Realty consists of several real estate investment funds with multiple investors including endowments, foundations, pension funds, and high net worth individuals.
ROLE AND RESPONSIBILITIES
TRANSACTION ADMINISTRATION
- Serve as liaison with accounting, revenue accounting, legal, asset management, operations, transactions and construction departments
- Prepare and track all lease approval documents internally and externally
- Review lease documents to confirm rents, square footages and other critical items are accurate
- Update and maintain Lease activities in Salesforce database on a regular basis
- Code and submit legal invoices for payment through Avid systems
- Review commission invoices ensure amounts due are correct
- Work with the marketing team to provide marketing materials for properties within the Region
GENERAL ADMINISTRATION
- Greet visitors, ascertain nature of business and contact the appropriate team member.
- Answer and transfer phone calls
- Post, prepare, sort and deliver daily mail and interoffice mail
- Handle FedEx shipments for operations and transaction teams
- Maintain responsibility for the overall appearance of the office, conference room and storage room and kitchen area
- Maintain, order office supplies and code invoices for copy machine, postage machine, computer/printers and miscellaneous supplies as needed
- Complete expenses reports, travel arrangements, Amex reconciliations for the San Francisco transaction team
- Assist entire San Francisco and remote SF team members on an ad hoc basis
- Coordinate catering orders for the office
- Responsible for coordinating office Landlord communications to team
- Coordination of corporate “Fun Day” events for the team (monthly)
- Open and close the San Francisco office at 8:00am and 5:00pm respectively
- Primary office administrative coverage during holiday weeks (not including LBA designated holidays)
