The Reception & Office Services Coordinator provides dependable backup coverage for the reception desk and supports day-to-day office operations. Core responsibilities include greeting and directing guests, answering phones, monitoring shared inboxes, auditing facilities work-order tickets, stocking and monitoring kitchen supplies, and executing office closing procedures. The role ensures a professional, welcoming environment and consistent internal service. Experience with property accounting or related accounting functions is helpful.
 
Key Responsibilities:
 
·         Reception and guest services: greet visitors, coordinate with hosts, uphold lobby standards, and ensure an excellent guest experience.
·         Conference rooms: check rooms throughout the day to confirm cleanliness, organization, and that AV/IT equipment is powered on and operational; escalate issues promptly.
·         Phone and email: answer and route incoming calls; monitor and triage shared reception and office services inboxes; respond or escalate within service expectations.
·         Office close and coverage: complete daily closing checklist (doors, lights, conference rooms, kitchens); provide backup for morning shifts and for planned/unplanned absences.
·         Mail and shipping: receive, sort, and distribute mail; manage package receipt and notifications; prepare outgoing shipments.
·         Kitchen and supplies: stock refrigerators, beverages, and snacks; check soda/water levels and notify others when supplies are low for reorder; maintain tidy common areas.
·         Facilities coordination: audit facilities work-order tickets for accuracy, completion, and service level; follow up with vendors and the facilities team as directed.
·         Accounting support: mail vendor checks after signing (weekly) and assist with other routine tasks as needed; perform basic data entry or document handling as directed.
·         Administrative support: basic document preparation, scanning, and meeting set-ups.
·         Other duties: perform additional tasks and administrative responsibilities as assigned or as needed.
 
Qualifications:
 
·         Minimum 3-4 years of experience in reception, office administration, or a comparable customer-facing role.
·         Proficient with Microsoft 365 (Outlook, Teams, Word, Excel) and standard office equipment.
·         Professional written and verbal communication; courteous, service-oriented demeanor.
·         High reliability, attention to detail, and adherence to procedures and checklists.
·         Ability to manage multiple priorities and adjust hours for coverage needs.
 
Preferred Qualifications:
 
·         Familiarity with facilities/work-order systems (e.g., Angus, MRI, or similar) and basic ticket auditing.
·         Ability to handle light accounting duties including assembling simple monthly financial statement packages, organizing backup, and basic AP/AR data entry—beyond tasks limited to mailing checks and coding A/P.
·         Experience in a commercial real estate or multi-tenant office environment.
 
Physical and Work Conditions:

·         Ability to sit or stand for extended periods; lift and move packages up to 10 to 15 pounds
·         100% On-site role in our Milwaukee office with occasional adjusted hours for coverage, events, or operational needs.
