POSITION SUMMARY
The Senior Property Manager serves as the primary point of accountability for all operational, financial, and tenant-relations functions at a Class A commercial office asset in Aventura, FL. Reporting to senior leadership, this individual will execute ownership's strategic objectives by managing day-to-day operations, driving NOI performance, and cultivating a best-in-class tenant experience. The role demands expertise in commercial office property management, strong financial acumen, and demonstrated leadership capability.
Strategic Operations & Asset Performance
• Execute the approved annual strategic and business plan for the property in alignment with ownership's investment objectives.
• Conduct daily property inspections to ensure the asset is maintained to the highest standards of presentation, cleanliness, and safety.
• Monitor and continuously improve building operations, identifying opportunities to enhance efficiency, reduce expenses, and maximize NOI.
• Maintain compliance with all applicable building codes, local ordinances, environmental regulations, and OSHA/life safety requirements.
• Oversee emergency preparedness protocols and maintain a current Emergency Operations Manual.
Financial Management & Reporting
• Prepare and manage the annual operating budget; deliver monthly cash flow projections, variance reports, and a weekly operations summary to ownership.
• Exercise primary accountability for budget adherence and variance explanation across all expense categories.
• Oversee the full accounts receivable cycle, including rent billing, collections, and escalations in accordance with lease provisions.
• Manage CAM (Common Area Maintenance) reconciliations, year-end operating expense true-ups, and related tenant billings.
• Review real estate tax assessments; coordinate appeals with tax counsel as appropriate; file all required municipal and regulatory reports.
• Analyze and interpret monthly financial statements, operating expense reports, and ownership reporting packages.
• Control procurement of third-party services, competitive bidding, and approval of capital and operating expenditures per the management agreement.
• Administer all lease agreements, including critical date calendars, rent commencement notices, renewal notifications, and option tracking.
• Coordinate closely with leasing brokers to maintain market-ready vacant suites; facilitate timely commission processing and encumbrance documentation.
• Oversee tenant improvement (TI) construction projects from permit through punch-list, ensuring adherence to lease work letter obligations, local codes, and occupancy timelines.
• Implement a proactive tenant retention program including regular tenant meetings, satisfaction surveys, and escalation management.
• Maintain open, professional relationships with tenants and occupants, resolving service requests promptly and in accordance with lease requirements.
• Manage the annual capital improvement plan in coordination with ownership; prepare project budgets, scopes of work, and RFPs; oversee execution through closeout.
• Negotiate, execute, and manage service contracts with third-party vendors (janitorial, security, landscaping, MEP, elevator, etc.), ensuring SLA compliance and value for cost.
• Maintain and manage the property's preventive maintenance program using a work order system (Yardi or equivalent).
• Oversee building system performance including HVAC, electrical, plumbing, fire/life safety, and building automation systems (BAS/BMS).
Team Leadership & Administration
• Recruit, hire, train, and directly supervise on-site building, engineering, maintenance, and administrative personnel.
• Set performance goals, conduct annual reviews, and foster a culture of accountability, professionalism, and continuous improvement.
• Model and enforce the firm's values, code of conduct, and professional standards across the property team.
• Maintain all required site-specific documentation, compliance records, certificates of insurance, and vendor files.
QUALIFICATIONS & REQUIREMENTS
Education & Credentials
• Bachelor's degree in Real Estate, Business Administration, Finance, or a related field preferred.
Experience
• Minimum 5–7 years of progressive commercial office property management experience, including direct supervisory responsibility.
• Demonstrated track record managing Class A office assets with a minimum of 100,000 SF preferred.
• Familiarity with South Florida commercial real estate market conditions, tenant mix, and regulatory environment preferred.
• Proficiency in Yardi Voyager (or comparable property management platform: MRI, RealPage, etc.).
• Strong working knowledge of Microsoft Office Suite (Excel modeling, Word, Outlook, PowerPoint).
• Experience with building automation and work order management systems preferred.

This role is based on-site at a commercial office property in Aventura, FL, with regular presence required throughout the building and on the property grounds. The position involves extended periods of desk work alongside routine property walks, building system reviews, and occasional participation in construction or capital project oversight.
Physical requirements include the ability to walk, stand, sit for extended periods, and occasionally lift up to 25 lbs. The role requires close visual acuity for document review and screen work, as well as the ability to navigate multi-story building environments.
