Job Summary and Distinguishing Features of the Job

The Assist Building Manager is responsible for assisting the Operations  Manager in the management of commercial property.  Responsibilities involve a broad range of property management functions, including, but not limited to budget preparation and execution, building  operations , facility maintenance and repair, tenant relations and project management. 

Minimum Qualifications Required

 Education and Experience:

•             Bachelor’s level degree in Business or related field and:

•             Two to three years of progressively responsible related experience in a commercial property, tenant management setting; or

•             Any combination of education, training and experience which provides the required knowledge, skills, and abilities to perform the essential functions of the job.

Essential Job Functions

Support Operation Manager in the following:

1.            Reporting

a.            Annual Budget

b.            Capital Budget

c.             Monthly Reports

d.            AR Reports, etc.

 

2.            Tenant Communications, Relations, Retention

a.            Establish strong relations with Facility Managers and Tenant Services Coordinator.

b.            Engendering superior tenant relations.

c.             Insure high level of tenant satisfaction.

d.            Deal with problems as soon as possible with a goal of resolving differences where possible.

e.            Analyzing tenant requests and assesses for systemic issues and opportunities for improvement.

f.             Ensuring tenant requests are met in a timely and efficacious manner.

g.            Organize and maintain a high level of involvement with tenant for various building events

 

3.            Administrative  

a.            Contracts/ Contractor/ Vendors – Assist building manager in bidding and maintaining appropriate contract and oversight of the same.

b.            Managing and evaluating contractors ' performance and adherence to terms of agreements.

c.             Engendering superior employee/labor relations.

d.            Insure organization of files to company standards

e.            Code, approve and track invoices

f.             Being compliant with labor regulations and acting in a manner consistent with all collective bargaining agreements.

g.            Coordinates and attends job meetings and reports back to the organization.

h.            Responds to subcontractor queries.

i.              Ensures trades are compliant with:

i.              Building rules and regulations.

ii.             City codes and ordinances.

iii.            Labor regulations

iv.           Minimize tenant disturbances.

 

4.            Property Maintenance

a.            Oversee safety an integrity of buildings systems and equipment through staff or contractors

b.            Ensure compliance with all codes, laws and environmental issues

c.             Perform regular tour of the property to insure proper maintenance and fulfillment of responsibilities by staff, contractors, vendors and tenants.  

d.            Overseeing the daily operations and maintenance of the building and ensuring that they are run in accordance with company’s standards and processes.

 

5.            Personnel

a.            Direct and supervise staff related to the property

b.            Update building manager on ongoing project and activities performed by third party vendors
