ROLE:
To provide executive administrative support to the CEO, President and related administrative support to the Capital Markets (CM) & Market Research (MR) Teams.
ADMINISTRATIVE SUPPORT TO CEO AND PRESIDENT
- Administrative Assistant to the CEO & the President of the Company in a variety of administrative & clerical responsibilities.
- Maintain personal calendar for appointments, meetings, and requested scheduled items. May be asked to run personal errands from time to time.
- Assist in travel arrangements for the CEO and the President and within the Capital Markets & Market Research Teams when requested.
- Assist Capital Markets & Market Research Teams with assigned tasks.
- Represent the Company to a wide variety of outside investors, vendors and other professionals.
- Assist the President with creating the agenda for weekly Investment Committee & Capital Markets Team meetings; take notes during the meetings.

PRIMARY DUTIES/RESPONSIBILITIES FOR CAPITAL MARKETS
Capital Raises
- Coordinate the circulation of marketing materials for all pending capital raising initiatives with CM and Marketing.
- Work directly with CM to track investor interest via Salesforce. Ensure the information is fully captured and reflected.
Salesforce
- Input all Salesforce related items into the system. Working closely with CM.
- Assemble Salesforce tracking reports, confirm information is captured timely and completely.
- Make periodic adjustments to the Salesforce platform to accommodate the changing internal needs of the leadership team.
Investor Documents
- Replicate the approved legal documents for external distribution.
- Distribute all legal documents and wire instructions to external parties using Salesforce/Juniper Square.
- Track all investor documents and confirm that all legal documents are fully executed prior to closing. Save to correct internal folders.
- Once executed, upload Operating Agreement, Subscription Agreement and W-9 to Juniper Square investor account.
Annual Investor Meeting
- Work closely with IR/CM to schedule, plan, communicate and execute the annual investor meeting in late February/ early March.
PRIMARY DUTIES/RESPONSIBILITIES FOR MARKET RESEARCH
- Maintain an Excel database of real estate transactions with information from a variety of sources including CoStar.
- Prepare slides in PowerPoint for weekly Acquisitions meeting.
- Update the Acquisitions Dashboard in Microsoft Word monthly.
- Update the Quarterly Absorption Analysis Excel document with data from CoStar.
EDUCATION AND EXPERIENCE REQUIREMENTS:
- A college degree is preferred.
- Minimum 5 years’ experience as Executive Assistant is preferred.
- Experience in Capital Markets/Investor Relations administration is valuable.
Skills Required

BACKGROUND:
Background check, drug test required. Minimum of Five years’ executive level assistant experience preferred. Our company uses E-Verify. Valid driver license and reliable transportation.
