We invite you to consider our Executive Administrator opening!


As Realty Income’s Executive Administrator, you will be responsible for supporting all administrative duties associated with the Human Resources department and some responsibilities for the Research department, including management of information flow and Powerpoint document production. You can also expect to: manage multiple tasks and projects with competing priorities and deadlines, prioritize communications and opportunities from internal and external sources, and organize and maintain administrative processes.

 

 

What You Will Be Working on:


General

  • Manage logistics, invitations, agendas and records for key meetings (senior leaders meeting, all-employee meetings, board presentations, etc.) to ensure a seamless execution and delivery
    • Preparation of presentation materials, including creating/modifying PowerPoint  presentations and document packages
  • Schedule domestic and international travel and make arrangements; prepare meeting and travel itineraries; monitor and complete expense reports in a timely manner
  • Manage file retention/destruction
    • Review company policy with the department head for the retention/destruction needs
  • Prepare and log departmental expense claims, reports, and budgeting. Track expenses to ensure they stay within budget, and review variance analysis for the travel GL accounts only.

 

Human Resources Support

  • Must have careful regard for confidentiality and engender credibility and trust as an agent of the HR team.
  • Identify and anticipate needs of Head of HR and execute accordingly, to ensure the department’s communication workflow runs smoothly
  • Gain an overall understanding of business strategies and objectives for the company and Human Resources department
  • Serve as a liaison with staff and leadership team and communicate on the Head of HR’s behalf when needed
  • Analyze complex information and requests to ensure efficient outcomes
  • Handle sensitive information with the utmost confidentiality and professionalism
  • Interface with all levels of the organization and with external customers in a professional and effective manner
  • Manage special projects; work independently with initiative to achieve initiatives; focusing on supporting corporate social responsibility initiatives and programs
  • Develops and maintains a filing system; ensures business and operational reports, forms, and other documentation, paper or electronic, are readily available.
  • Supports the development of tailored messaging, which may include writing, editing and distributing communications (e.g., correspondence, presentations)).

 

Research Support

  • Support the Research team, including:
    • Producing and editing documents for Investment Committee and the Board of Directors using a combination of Microsoft Word, Powerpoint and Excel (for charts)
    • Provide a final editorial review for these documents prior to dissemination, focusing on logic, flow, visual presentation, clarity, grammar, spelling, etc.
    • Maintain simple but important databases (primarily in Excel) for the team, updating them periodically as needed. Examples included reported same-store-sales for restaurants that are readily available from their public disclosures or third party sources that aggregate such information
    • Managing travel, expenses, and scheduling for meetings
    • Other ad hoc areas requiring support that may arise from time to time but are not frequent (e.g., event planning)
  • Opportunity to expand responsibility to more operational areas of the Research department will depend on demonstrated aptitude and desire

What you’ll need to bring with you:

  • Bachelor’s degree from accredited four-year university strongly preferred
  • Minimum of seven years' experience providing administrative support to a senior level executive
  • Experience working with the team of a senior level executive
  • High proficiency in Microsoft Office (Outlook, Word, PowerPoint) and other specialized technology as required. Prior experience in creating PowerPoint briefings and presentations is required with efficient use of infographics, tables, and charts
  • Advanced technology skills, including:
    • Experience with CRM systems helpful  (e.g., Microsoft Dynamics or Salesforce)
    • Internet research
    • Presentation design (PowerPoint)
  • Must demonstrate strong judgment and confidentiality at all times
  • Demonstrate a positive attitude and professional maturity, and must adhere to the highest standard of ethics and professional behavior
  • Deadline driven with strong attention to detail
  • Ability to work with minimal direction; Learn quickly and independently
  • Excellent time management, ability to prioritize tasks from other sources, and make adjustments in a manner to complete all tasks
  • Self-motivated; determined to make improvements, including ability to identify and discontinue unnecessary tasks in order to take on more meaningful ones, generate ideas for streamlining department's operating procedures and/or file retention systems, implement after approval by department head
  • Excellent written and oral communication
