JOB SUMMARY
CBRE is the world's largest commercial real estate services firm and the #122 company on the Fortune 500. We're looking for a self-motivated and high-energy Client Services Coordinator to join our team in Akron to take on multiple marketing, administrative support, and business development duties for a group of high performing sales professionals in a fast-paced commercial real estate office.
This role requires a business development and administrative professional that can manage, understand, and interpret the multiple functions in high level real estate sales.

EDUCATION and EXPERIENCE
Associate degree (A.A.) or equivalent from 2-year college required. 3 years' experience providing administrative support to multiple or team of professionals; ability to determine and respond to conflicting priorities preferred. 2 years' experience in the Real Estate industry.
COMMUNICATION SKILLS
Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding. Ability to write routine reports and correspondence. Ability to respond to common inquiries or complaints from clients, coworkers and/or supervisor. Ability to effectively present information to an internal department and/or large groups of employees.
FINANCIAL KNOWLEDGE
Requires knowledge of financial terms and principles. Ability to calculate intermediate figures such as percentages, discounts and/or commissions. Conducts basic financial analysis. Ability to abstract a lease.
REASONING ABILITY
Ability to comprehend, analyze, and interpret documents. Ability to solve problems involving several options in situations. Requires intermediate analytical and quantitative skills.
OTHER SKILLS and/or ABILITIES
Advanced skills with Microsoft Office Suite, internet research and web publishing skills. Ability to manipulate basic templates in Power Point, InDesign, Excel, Campaign Logic preferred. Other Software Knowledge & Training will be Involved. Strong marketing knowledge needed.

Decisions made with thorough knowledge of procedures and company policies to achieve set results and deadlines. Responsible for setting own project deadlines. Errors in judgment may cause negative impact to internal and external clients.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Administrative
- Coordinates complex on/offsite meetings and conferences. Schedule appointments, keep calendars, arrange travel itineraries and meeting room reservations for sales professionals and Management.
- Provides support for reception and guest services, business operations, mail services, phone, meeting rooms and location services; often the first point of engagement with employees and visitors. Responsible for making a good first impression for the organization, which can affect the organization's success.
- Performs general clerical duties associated with distributing office faxes, packages and mail as required. Uses tracking systems to record inbound and outbound courier, freight and mail. Meters mail. Arranges messenger service as needed.
- Order's office supplies and other common use items for the location, such as caf supplies, equipment toner, printer paper, freight and shipping supplies etc.
- Maintains neat office appearance, conference rooms, caf and other common areas. Requests building and housekeeping services as needed.
- Oversees the proper maintenance of office equipment to include copiers, phone systems and printers (color and B&W). Solves minor equipment problems independently.
- Maintains records and logs of building service requests and tracks their status.
File Process (Listing and Deal Cycle)
- Creates standard listing and commission agreements and ensures correct documentation is drafted and executed.
- Monitor Listing Status and Renew Listing when Expired
- Gathers supporting documentation to complete voucher forms and process Brokers' commission payments while abiding by company accounting policies as well as local and national laws.
- Monitor Closing Process and Timeline
- Ensure Correct Closing Documentation is Drafted and Executed
Marketing Responsibilities
- Proficient in Adobe Creative Suite (Photoshop, InDesign, Illustrator, Premier Pro, etc.)
- Experience with creating and managing social media content (i.e. photography and video editing, creating campaigns, etc.)
- Maintains CBRE brand, product, office and client messaging and consistency by applying templates to produce marketing materials including flyers, proposals, tour books, maps, floor plans and qualification packages.
- Organizes the preparation and production of customized, client specific property information packages in response to Requests for Information (RFIs) and Requests for Proposals (RFPs).
- Tracks, collates and maintains inventory of marketing materials.
- Design Property Marketing Brochures and Keep Updated
- Create and Update Property Marketing Contact Lists
- Property Email Blasts - Monitor Stats, Contacts, and Schedule
- Manage Team's CoStar/LoopNet Accounts
- Communicate Listings with Brokers and Economic Development Partners
- Prepare and Send Out Property and Holiday Mailers
- Maintain Individual and Team Website
- Prepare and Update Case Studies
- Acts as point of contact and liaison with the CBRE Property Marketing Studio
Business Development
- Print, collate and bind presentations and/or tour books
- Property Tour Searches and Complete Preparation of Tour Packages for Clients
- Lease Proposals Preparation and Responses
- Request for Proposals and Responses
Financial
- Excel Experience Required
