Job Summary

The Experience Reception/Concierge acts as the heart of the workplace providing personalized services to team members and visitors alike, and administrative support to foster a sense of community.

Host uses people-led, technology-enabled services to connect employees to their environment via their mobile devices, as well as through high-touch services and world-class customer service support.

The individual in this role acts as the first point of engagement with team members and visitors alike, creating a warm, supportive and service-oriented atmosphere that enhances the Experience.

They are responsible for providing employee/tenant-facing workplace services and front-of house reception including but not limited to: greeting visitors in a warm and welcoming manner, answering and directing calls, assisting with transportation, advising on local attractions and other service-based or administrative tasks as assigned.

Essential Duties and Responsibilities

o Order and stock office supplies

o Assist with any office-specific onboarding tasks for new employees

o Maintain a tidy and clean office including, but not limited to: running the dishwasher, brewing coffee, and cleaning coffee pots

o Partner with Real Estate team for onsite help with any buildouts or office improvements

o Report and track support tickets with the building and serve as a liaison for Affirm

o Track and resolve internal Support Portal tickets for local employees

o Educate employees about office policies and procedures and maintain accuracy of your respective office's guidelines

o Help manage relationships with office vendors, building management, building security, and Affirm's managed security vendor

o Track office spend against agreed upon budgets

o Coordinate local in-office events with the help of our Events team

o Serve as a culture carrier for Affirm by being present not only in the office, but also in Chicago's team channel

o Helping with ad-hoc administrative tasks as necessary to support office employees

o Provides assistance services to tenants/employees and guests including but not limited to:

o Arranges and confirms recreational, dining, and/or business activities

o Makes transportation & travel arrangements

o Office wayfinding o Meal & activity reservations

o Guest & administrative support o Shipping

o Coordinate car detailing & on-site car refueling

o Laundry & dry cleaning services

o Gift & package orders

o Other services as needed.

Qualifications

Education and Experience

HS Diploma or GED required. Bachelor's degree or professional hospitality accreditations preferred. Prior Customer Service experience required. A minimum of 1 year of Front Desk, Concierge, customer service or other hospitality experience is preferred. Strong knowledge of the surrounding area and all recreational, hospitality and business-related information.
