Job Description
The Accounting Manager is responsible for all core bookkeeping and accounting administration across corporate and project entities, while also supporting budgeting, forecasting, and financial analysis for development projects and the corporate platform.
Bookkeeping & General Accounting
- Perform day-to-day bookkeeping including journal entries, transaction coding, and reconciliations.
- Maintain accurate general ledger records across multiple entities and projects.
- Reconcile bank accounts, credit cards, and other accounts on a monthly basis.
- Ensure all transactions are properly coded by project, cost code, and draw when applicable.
- Support monthly close processes and provide clear, organized records to senior management and external accountants.
- Manage full accounts payable lifecycle, including invoice collection, coding, approval routing, and payment processing.
- Maintain organized electronic invoice files at both project and corporate levels.
- Track and follow up on unapproved or missing invoices to ensure timely processing.
- Coordinate check runs and maintain check stock for multiple project bank accounts.
- Assist with outgoing wires and internal account transfers in coordination with senior management.
- Track development and construction costs using project-specific cost codes and budgets.
- Maintain job cost records and support budget-to-actual tracking.
- Assist with preparation of construction loan draw packages, including supporting invoices and documentation.
- Ensure expenses are properly assigned to the correct draw and funding source.
- Support tracking of retainage, lien waivers, and other construction-related documentation.
- Collect and maintain W-9 forms for all applicable vendors and consultants.
- Track certificates of insurance and monitor expiration dates.
- Maintain organized electronic contract files, including change orders, at the project level.
- Support annual 1099 and 1096 preparation and filings.
- Reconcile and code corporate credit card statements, separating project expenses from overhead.
- Assist with invoicing between related entities as needed.
- Support year-end close and tax preparation by compiling requested documentation.
- Maintain clean, well-organized electronic and limited hard-copy accounting files.
- Assist in the preparation and ongoing maintenance of project-level development and construction budgets.
- Support corporate-level budgeting and forecasting, including overhead planning and cash needs.
- Update budget-to-actual analyses and highlight meaningful variances for senior management.
- Maintain forward-looking cost forecasts and support cost-to-complete analysis.
- Assist with cash flow projections at both the project and corporate level.
- Support financial modeling inputs related to development budgets, timing, and funding assumptions.
- Prepare summary financial analyses to support internal investment and capital planning discussions.
- Provide financial data and analysis for lender, investor, and internal reporting as needed.
- Help improve and formalize accounting policies, procedures, and internal controls.
- Identify inefficiencies in current workflows and recommend process improvements.
- Serve as a financial thought partner to development and senior leadership, not just a transactional resource.
- Minimum 3+ years of accounting experience, with strong preference for real estate development or construction accounting.
- Deep experience with bookkeeping, accounts payable, and project-based accounting.
- Working knowledge of development budgeting, forecasting, and financial analysis.
- Strong understanding of construction draws, cost coding, and job cost accounting.
- Highly organized, detail-oriented, and dependable.
- Comfortable working independently without constant oversight.
- Strong communicator who can translate financial information clearly to non-accounting stakeholders.
- Bachelor’s degree in Accounting or Finance preferred but not required with relevant experience.
- QuickBooks Online: Advanced proficiency required.
- Northspyre: Prior experience highly preferred, or similar systems such as Procore or Yardi Construction.
- Microsoft Excel: Strong proficiency required.
